We are seeking a highly reliable team player to provide executive level administrative support and perform basic/general bookkeeping functions. This position reports directly to the CEO and requires a discrete individual who can deal with sensitive and proprietary matters in a mature manner. The right candidate will be personable, professional and flexible, with a passion for service.
The position requires exceptional analytical skills as well as experience with administration, communication, bookkeeping and internal/external relations. S/he should also be a team player, have exceptional organizational skills, high ethical standards, and have experience carrying out multiple projects while prioritizing tasks. You will be an integral component of our team with room for growth and exposure to a variety of industries.
The position will have direct involvement with operations in several companies including those involved in Management Consulting Services, Franchising and Food/Beverage Operations.
Job Description
The responsibilities may vary widely as this position will span more than one business venture. Work and responsibilities will be assigned by the CEO and other company leaders. Some responsibilities include but are not limited to:
Executive Assistance
  • Provide administrative support for CEO & President as needed
  • Maintain assigned calendars
  • Coordinate and schedule meetings, conference calls and other events
  • Plan and book travel and accommodations for company associates as required
  • Manage and set up catering for internal, external events and client meetings
  • Manage other projects that may be assigned
  • Answer phones and communicate with customers and vendors

Bookkeeping
  • Responsible for general bookkeeping to include accounts payable, accounts receivable, general ledger and financial reports for multiple companies
  • Manage accounts receivable collections and deposits
  • Manage expense reporting processes; reconcile and balance vendor accounts as required
  • Maintain accounting and contracts filing systems.

Qualifications
  • A minimum of one year of experience in an administrative support role required
  • A minimum of one year of experience with basic bookkeeping
  • Bachelor's degree or equivalent experience in appropriate field preferred
  • Outstanding verbal and written communication skills
  • Excellent time management skills
  • Demonstrated proficiency in Microsoft Office and QuickBooks preferred
  • Must be flexible, team-oriented and committed to having a good time while doing a great job
  • Proficient with Microsoft Word/Excel, PowerPoint, modern aps and business management and productivity apps and software
  • Outstanding reading, writing and verbal communication skills. Work requires the ability to efficiently write memoranda, correspondence, reports and produce written documents with clearly organized thoughts using fine language.
  • Demonstrated ability to compose correspondence and content materials which often require an understanding of specific subject matter, company standards and/or procedural guidelines
  • Ability to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow-ups
  • Must possess excellent organizational skills with the ability to prioritize tasks and anticipate needs
  • Unquestionable personal code of ethics, integrity, and trust
