Job description

Job Summary:
We are seeking an Administration Executive Assistant to support our office operations, providing a variety of routine and occasionally some complex administrative, clerical and technical work in assistance to the County Administrator and supporting staff; performing day-to-day tasks necessary to ensure accurate and timely performance of duties.


Essential Functions:

1. Prepares routine and/or non-routine letters, agenda, memoranda, forms and other correspondence
2. Types, proof reads, assembles and distributes agendas and agenda packets for County Commission and other meetings
3. Required to set up and tear down Commission meetings, Department Head meetings and other special work sessions
4. Prepares purchase orders and does vendor research
5. Maintains inventory and ordering of office supplies
6. Maintains credit card accounts and correspondence with credit card company for Administration, H.R. and Commissioners
7. Maintains bidding, ordering and tracking of paper supply for all County Departments
8. Assists with research for annual budget preparation and assembles budget packets for budget workshops
9. Prepares and distributes monthly County Commission calendar
10. Distributes mail to the County Administrator, Human Resources staff and County Commissioners
11. Types documents for legal publications and new releases
12. Maintains the appointed Board book and the application process for those Boards
13. Maintains, updates and initiates any changes necessary with Seward County insurance policies, as directed
14. Coordinates scheduling for appointments, meetings, conferences, etc.; makes travel arrangements; confirms appointments and/or reservations, as required
15. Receives and screens calls, mail and visitors; responds to inquiries and initiates fact-finding to resolve issues of a non-routine nature
16. Updates and maintains official Seward County website and Facebook page
17. Enforces and maintains compliance with all federal, state and local laws and ordinances
18. Performs other duties as assigned or deemed necessary
19. Complies with all organizational and departmental policies and procedures
20. Operates all job-related equipment, machinery, tools and other aids as required or needed
21. Protects and maintains any confidential information you have access to, whether oral, written, or electronic

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 1. Proven work experience as an Administration Assistant, Administrative Assistant, or similar role.
2. Proficiency in MS Office (MS Excel and MS Word, in particular).
3. Strong time management skills and the ability to prioritize work effectively.
4. Attention to detail and excellent problem-solving skills.
5. Outstanding written and verbal communication skills.
6. High school diploma; 5 years of qualifications in Office Administration are advantageous.
