Position Summary

The Business Office Manager (BOM) is responsible for leading the daily financial and administrative operations of the facility while ensuring exceptional customer service for residents, families, and business partners. This role oversees resident billing, accounts receivable, Medicaid and Medicare reimbursement, resident trust accounts, financial reporting, and business office staff while supporting regulatory compliance and operational excellence. The Business Office Manager serves as a key member of the leadership team, helping ensure the financial success of the community while delivering an outstanding resident and family experience.

Key Responsibilities
  • Lead the daily operations of the Business Office, ensuring accurate, timely, and compliant financial processes.ย 
  • Manage resident billing, Medicare, Medicaid, private pay, insurance claims, and accounts receivable activities.ย 
  • Monitor collections and proactively resolve outstanding balances while maintaining positive relationships with residents and families.ย 
  • Maintain resident trust accounts, petty cash, bank deposits, reconciliations, and financial records in accordance with regulatory requirements.ย 
  • Prepare reports, financial documentation, census information, and supporting documentation for audits and reimbursement activities.ย 
  • Participate in the admission process by explaining financial responsibilities, payment options, and billing procedures to residents and families.ย 
  • Supervise, coach, and develop Business Office team members while fostering accountability and excellent customer service.ย 
  • Collaborate with facility leadership to support budgeting, operational performance, and continuous process improvement.ย 
  • Ensure compliance with company policies, CMS regulations, Medicaid, Medicare, HIPAA, and other applicable state and federal requirements.ย 
  • Build positive relationships with residents, families, vendors, and third-party payers while providing exceptional customer service.ย

Requirements

Required Qualifications
  • Bachelor's degree in Business, Accounting, Healthcare Administration, Finance, or a related field or equivalent long-term care business office experience.ย 
  • Minimum of three (3) years of related business office, accounting, billing, or healthcare financial experience.ย 
  • One (1) to two (2) years of leadership or supervisory experience preferred.ย 
  • Knowledge of Medicare, Medicaid, private pay billing, accounts receivable, resident trust accounting, and reimbursement processes.ย 
  • Strong financial, analytical, organizational, and problem-solving skills.ย 
  • Excellent communication and customer service skills.ย 
  • Advanced proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.ย 
  • Ability to maintain confidentiality while exercising sound judgment and professionalism.ย 
  • Ability to prioritize multiple responsibilities while working independently and collaboratively.ย 
  • Ability to meet the physical demands of the position, including prolonged sitting, computer work, occasional lifting of up to 25 pounds, and moving throughout the facility.ย 
Preferred Experience
  • Previous experience as a Business Office Manager or Assistant Business Office Manager in skilled nursing, long-term care, rehabilitation, or healthcare.ย 
  • Experience with PointClickCare, MatrixCare, or other long-term care billing and electronic health record systems.ย 
  • Knowledge of Medicare Part A, Medicaid, Managed Care, and private insurance reimbursement.ย 
  • Experience with resident trust accounting, financial audits, and regulatory compliance.ย 
  • Experience leading business office teams and improving financial performance.ย 
  • Strong understanding of healthcare reimbursement, customer service, and long-term care operations.ย
