Position Summary:

The Facilities Specialist will report to the Facilities Manager and will be responsible for performing a number of coordination duties related to the routine maintenance of community living locations and program office locations. The Facilities Specialist promotes the organization's mission, vision, and core values and is responsible for providing leadership that supports and promotes Arc PG's strategic direction in all jurisdictions. The Facilities Specialist participates in key functional infrastructure units essential to the success of the Department, including:

Working Days & Hours:

• Scheduled Work Days: Monday - Friday

• Work Hours: 9:00am-2:00pm (Part-time) Note: Position requires evening and weekend hours for high-level special events and projects

• Pay: $27.50 Hourly 

What You'll Be Doing Day-to-Day:

• Coordinate routine maintenance, repairs, renovations, landscaping, and upkeep of community living homes, program offices, grounds, and other facilities.

• Review, prioritize, assign, and monitor electronic work orders, ensuring timely updates, follow-up, and completion.

• Coordinate with internal maintenance staff, property management, contractors, and vendors to resolve facility issues and complete projects.

• Maintain accurate records of work orders, repairs, preventative maintenance, facility projects, and vendor activities.

• Develop and monitor preventative maintenance schedules, including HVAC filter replacement and other building-system maintenance.

• Build and maintain vendor relationships; research qualified vendors, obtain competitive services, and monitor contractor performance, quality, timelines, and budgets.

• Assist with facility projects such as landscaping, bulk waste removal, tree removal, flooring, fencing, and preparing homes for sale.

• Support compliance with applicable laws, regulations, building codes, safety standards, and OHCQ, DOH, DDA, and internal corrective action requirements.

• Assist with emergency preparedness, including evacuation and COOP plans, after-hours emergencies, emergency supplies, and specialized sanitation or biohazard services.

• Support environmental health and safety activities, including HVAC, indoor air quality, mold/mildew prevention, and building safety.

• Monitor facility-related expenses and assist with investigating utility costs and other operational concerns.

• Provide timely communication and follow-up with staff, vendors, contractors, and program leadership regarding facility needs, deficiencies, and project status.

• Provide guidance to field staff and contractors while promoting a safe, well-maintained, accessible, and customer-focused environment.

• High school diploma or GED required.

• Minimum of 5 years of experience coordinating with staff, contractors, vendors, and service providers.

• Minimum of 3 years of professional experience in facilities management or facilities-related services.

• Minimum of 3 years of experience supporting compliance in a human services or similarly regulated environment.

• Working knowledge of facility maintenance, preventative maintenance, safety standards, and building systems.

• Experience coordinating vendors, contractors, maintenance projects, and budgets.

• Strong verbal, written, interpersonal, organizational, and customer service skills.

• Ability to prioritize multiple tasks, work independently, respond with urgency, and troubleshoot facility issues.

• Strong accountability, integrity, discretion, professionalism, and ability to maintain confidentiality.

• Ability to guide and motivate contractors and staff to meet expectations.

• Valid driver's license with no more than two points on driving record.

• Ability to successfully complete required background check and drug screening.

• Current or ability to obtain and maintain First Aid and CPR certification.
