Job description

An Office Administrator is the first point of contact and provides administrative support for the facility. This position will coordinate front-desk activities, redirect phone calls and streamline office operations. This position ensures visitors and team members are welcomed and executes all administrative tasks at a high level. We are looking for an excellent team player to build positive relationships with employees and guests.
 
 
Hours for this role are Monday - Friday 7:30am - 4:00pm. 
Position Responsibilities may include, but not limited to
  • Provide administrative assistance including reception, guest logs, security badge control, filing, answer phone calls, among other requests
  • Assist both HR and managers/supervisors with translation
  • Schedule & organize meetings both on-site and remotely
  • Answer phones using multi-line phone system, transfer calls to various departments and take messages
  • Support upper level staff and HR-related work (i.e. interview coordination, new hire class support, etc.)
  • Provide excellent customer service attitude
  • Consistently take the initiative and offer creative solutions to problems
  • Serve as the liaison and go-to person for office questions and inquiries
  • Conduct and monitor wellness screenings for team members
  • Maintain a high-level of discretion and confidentiality when dealing with employee and company information
  • Coordinate office & facility tasks to include but not limited to; Monitor, order, and stock of office, breakroom and cleaning supplies, coordinate with cleaning staff and building manager, ensure facility needs are addressed, and outside vendor management
Required Skills and Experience
  • High School diploma or equivalent
  • Bilingual - English/Spanish
  • Must have strong organizational abilities, attention to detail, and multi-tasking skills
  • Previous experience with Microsoft applications including: Excel, Word, Outlook
  • Minimum 3-5 years of receptionist, HR administrative, or related experience
  • Ability to manage multiple schedules via MS Outlook
  • Excellent previous attendance history
  • Demonstrates exceptional communication and people skills
  • Ability to interact effectively with senior leadership, outside vendors, and internal and external customers
Preferred Skills and Experience
  • Associate Degree or 2 years Technical Training or college degree
  • Previous experience working in a manufacturing/production facility
Physical Requirements
  • Repetitive motions that include the wrists, hands and/or fingers
  • Sedentary work that primarily involves sitting, remaining in a stationary position for prolonged periods
  • Visual perception to perform job including peripheral vision, depth perception, and the ability to adjust focus
  • Ability to lift up to 10-20 lbs
