Essential duties and responsibilities

The Front Office Coordinator serves as the first point of contact for visitors, guests, and employees at Express Wash Concepts, delivering a professional and welcoming experience. This role manages day-to-day office operations, including maintaining well-stocked refreshment and break areas, and provides Level 1 support for HR service tickets, escalating more complex issues to the appropriate HR team member as needed. The Front Office Coordinator also provides administrative and logistical support to department leadership and company executives, helping ensure the corporate office runs smoothly and efficiently.

  • Greet and welcome visitors, candidates, vendors, and employees in a warm, professional manner and notify appropriate staff of arrivals.

  • Answer, screen, and route incoming calls and general inquiries to the appropriate department or individual.

  • Monitor and maintain office refreshment supplies (coffee, snacks, beverages, etc.), including inventory tracking, restocking, and coordinating orders with HR leadership and vendors.

  • Keep the front office, lobby, and shared break areas clean, organized, and presentable at all times.

  • Serve as the first point of contact for Level 1 HR support tickets, resolving routine employee questions.

  • Track and follow up on open HR tickets to ensure timely resolution and a positive employee experience.

  • Provide administrative support to department leadership and company executives, including as needed.

  • Assist with the coordination of meetings and events, including room setup, catering orders, and guest arrangements.

  • Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments.

  • Maintain office supply inventory and place orders as needed to ensure adequate stock.

  • Maintain confidentiality of sensitive employee, executive, and company information.

  • Perform other administrative and front-office duties as assigned.

Required Skills/Abilities

  • Excellent verbal and written communication skills, with a high-energy, professional, customer-service-oriented demeanor.

  • Strong organizational skills and attention to detail; ability to manage multiple priorities in a fast-paced environment.

  • Ability to exercise discretion and maintain confidentiality when handling sensitive HR and executive information.

  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); ability to learn HRIS (e.g., Workday) and ticketing systems.

  • Strong customer service orientation and interpersonal skills, with the ability to interact professionally with employees at all levels, including senior executives.

  • Ability to prioritize and respond promptly to front-office needs, HR support requests, and executive support tasks.

  • Basic problem-solving skills to triage and resolve routine HR inquiries.

Education and Experience

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

  • 1-3 years of experience in a front desk, office administration, customer service, or HR support role preferred.

  • Prior experience supporting senior leadership or executives is a plus.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to lift up to 30 pounds at times (e.g., office supplies and refreshment deliveries).

  • Must be able to greet and assist visitors at the front desk/reception area for extended periods.
