As the club continues to grow, we are seeking motivated, organized, and team-oriented individuals to join our Operations Department and help deliver a high level of excellence across our facilities and matchday environments.
Position OverviewTampa Bay Sun FC is seeking an organized, proactive, and hands-on Operations Coordinator to help own and coordinate key aspects of the daily operation of the club's training facility, Riverfront Stadium, and home match operations.
The Operations Coordinator will play an important role in owning and coordinating assigned operational functions, including facility readiness, operational projects, venue preparation, matchday logistics, workplace and administrative readiness, and event execution. This position will work closely with internal departments, vendors, contractors, teams, officials, stadium personnel, and other matchday stakeholders.
The ideal candidate is someone who takes initiative, is comfortable working in a fast-paced environment, and is willing to get hands-on to ensure club facilities, workplace operations, and match environments are organized, professional, safe, and ready to meet the operational needs of Tampa Bay Sun FC.
Key Responsibilities
Facilities Operations
  • Coordinate day-to-day operational needs at the Tampa Bay Sun FC training facility and Riverfront Stadium.
  • Own assigned facility-readiness requirements and coordinate completion of routine maintenance, field preparation, field painting, repairs, cleaning, and facility improvement needs.
  • Coordinate with vendors, contractors, venue personnel, and internal staff on maintenance and facility-related projects.
  • Coordinate and track assigned short- and long-term facility projects, including scheduling, vendor/contractor follow-up, delivery and installation logistics, project status, and completion.
  • Own the organization and tracking of operational equipment, supplies, storage areas, and facility inventory, including proactively identifying replenishment needs.
  • Conduct routine facility-readiness inspections and coordinate resolution of identified issues to ensure spaces are safe, clean, operational, and ready for team, staff, and event use.
  • Coordinate recurring cleaning and facility-readiness requirements, including vendor scheduling, restroom readiness, quality checks, and follow-up on identified deficiencies.

Workplace & Administrative Readiness
  • Own the day-to-day operational readiness and organization of shared club workplace spaces.
  • Monitor, maintain, and restock routine office and administrative supplies, including paper, pens, folders, printer supplies, and other commonly used materials.
  • Maintain shared kitchen and staff supplies, including snacks, beverages, and related consumables, within established purchasing parameters.
  • Maintain organized office, operational, and supply storage areas and proactively identify replenishment needs before shortages occur.
  • Routinely confirm shared printers, televisions/screens, conference-room equipment, and other common workplace equipment are functioning and ready for staff use.
  • Perform basic troubleshooting and coordinate appropriate IT, facility, administrative, or vendor support when equipment or workplace systems are not functioning properly.
  • Proactively identify and coordinate resolution of routine workplace-readiness issues.

Matchday Operations
  • Coordinate the setup, execution, and breakdown of Tampa Bay Sun FC home matches and special events.
  • Execute assigned components of matchday timelines, operational checklists, staffing plans, and run-of-show documents established by the Manager, Events & Match Operations.
  • Coordinate preparation of home, visiting team, and referee locker rooms.
  • Ensure competition areas are properly prepared, including goals, field markings, benches, hydration stations, signage, equipment, and other match-related needs.
  • Coordinate assigned field preparation, stadium conversion, and turnover requirements to ensure Riverfront Stadium meets club and league standards before each match.
  • Own the coordination and fulfillment of assigned matchday operational supplies and logistics, including equipment rentals, deliveries, staff meals, ice, operational shopping, and other recurring game-day requirements within established budgets and vendor parameters.
  • Coordinate execution of the approved matchday parking plan, including site readiness, staffing/vendor communication, operational setup, issue escalation, and post-match follow-up.
  • Execute matchday credentialing administration and distribution in accordance with approved credentialing policies, lists, and access levels established by the Manager, Events & Match Operations.
  • Serve as an operational point of contact for teams, referees, stadium personnel, security, vendors, media, and other matchday stakeholders.
  • Support pre-match, halftime, and post-match operational timing and match presentation activities.
  • Monitor stadium operations throughout matches and quickly address or communicate operational issues.

Event & Department Coordination
  • Collaborate with Marketing, Ticketing, Partnerships, Revenue, Communications, and other departments to support matchday activations and organizational events.
  • Assist with sponsor activations, hospitality areas, fan-facing spaces, and other event-related operational needs.
  • Support club events, community events, training sessions, meetings, and other special events and serve as the on-site Operations lead for assigned events and facility rentals.
  • For assigned events and rentals, coordinate operational readiness, setup and breakdown, vendors, staffing, facility requirements, on-site issue resolution, and operational closeout in accordance with the approved event plan.
  • Help coordinate part-time staff, interns, and event personnel by communicating assignments, timelines, and operational expectations.
  • Participate in pre-event planning meetings and post-event evaluations to identify successes and opportunities for improvement.
  • Own maintenance of assigned operational documents, facility records, inventories, credential information, project trackers, vendor documentation, matchday records, recurring checklists, and post-event action items, ensuring information is current and maintained in designated club systems and shared files.
  • Assist the Operations management team with additional projects and responsibilities as assigned.

Qualifications:
  • Bachelor's degree in Sports Management, Event Management, or a related field.
  • Ability to manage multiple projects simultaneously in a fast-paced, dynamic environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong communication (written and verbal) and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and event management software/platforms.
  • Ability to work flexible hours, including evenings, weekends, and holidays, as dictated by the event and game schedule.
  • Ability to lift and move up to 25 pounds as needed for event setup.
  • A passion for sports and a deep understanding of the fan experience is highly desirable.
