Job description

Do you keep office operations organized, take ownership of your work, and readily jump in wherever support is needed? We are looking for a well-rounded Office Administrator to support our client, a growing company in the promotional products industry.

Working closely with one of the partners and the external accountant, you will support a varied mix of office, client-order, administrative, and accounting activities. You will help keep the business organized and responsive while looking for practical ways to improve how work gets done.

Position details
  • Salary: $50,000–$65,000 per year, based on experience and abilities
  • Schedule: Full-time, Monday to Friday, 8:30 a.m.–5:00 p.m.
  • Location: Burlington, In office
Key responsibilities
Financial administration
  • Manage accounts receivable and accounts payable using QuickBooks.
  • Cross-check invoices and track expenses accurately.
  • Assist with basic payroll preparation and financial reporting.
  • Work closely with the external accounting team throughout these processes.
Office operations
  • Provide excellent customer service to clients in writing, in person, and by phone.
  • Support client-branded merchandise projects and help ensure orders are completed accurately and to the client’s satisfaction.
  • Manage incoming and outgoing email and mail.
  • Coordinate internal meetings, team meetings, and travel arrangements.
  • Manage office supplies and inventory as needed, ensuring necessary materials are available.
  • Provide general administrative support, including electronic filing, data entry, and document preparation.
  • Maintain the confidentiality of sensitive information.
  • Support general office coordination and other duties as required.

Requirements
  • College or university education is a strong asset.
  • Previous experience in a receptionist, administrative, customer service, accounting, or bookkeeping role is preferred.
  • Practical knowledge of QuickBooks and the ability to work comfortably in the platform.
  • Experience in the promotional products, branded merchandise, apparel decoration, print, or fulfillment industry is an asset.
  • Familiarity with accounting and finance terminology is a strong asset.
  • Strong computer skills, including proficiency in Microsoft Office applications such as Excel, Word, Outlook, and PowerPoint.
  • Excellent written and verbal English communication skills, with the ability to draft professional emails and confidently handle phone inquiries.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • A proactive, curious, and self-starting approach—you take ownership of your tasks, look for ways to improve how work gets done, and readily jump in to support changing priorities.
  • Communicate and interact professionally with clients, partners, and colleagues.
  • Ability to handle sensitive information with discretion and confidentiality.
