Job description

Position Summary: The Baseball Operations Coordinator supports the daily operational, technological, and administrative functions of IMG Academy’s Baseball program. This role is responsible for coordinating baseball technology systems, video operations, event logistics, travel support, communication processes, facility coordination, and game operations to ensure a world-class experience for student athletes, coaches, families, and visiting teams. 

Key Responsibilities:

  • Oversee the scheduling and execution of on-field video capture for practices, games, showcases, camps, and special events. 
  • Manage departmental use of Teamworks, Smartabase, and related operational systems while serving as a support resource for staff, student-athletes, and families. 
  • Coordinate setup, operation, calibration, and tagging of baseball technology systems including Trackman, HitTrax, PlaySight, and related player development platforms. 
  • Maintain GameChanger, MaxPreps, and other statistical platforms to ensure schedules, rosters, and game statistics are accurate and updated promptly. 
  • Research and evaluate emerging baseball technology and player development tools, providing recommendations for operational and performance enhancements. 
  • Develop and maintain inventory systems for baseball technology equipment, supplies, and operational resources. 
  • Provide basic IT troubleshooting and operational technology support for the Baseball department. 
  • Film and edit on-field drills, practices, games, camps, and training sessions in collaboration with Baseball coaching staff. 
  • Partner with the Head of College Placement to assist with recruiting video creation, editing, and distribution for student-athletes. 
  • Produce baseball program materials including team rosters, recruiting packets, operational manuals, and visual content as needed. 
  • Assist with creation of graphics, presentations, and communication materials using Canva or similar design platforms. 
  • Coordinate game-day operational staffing including umpires, Trackman operators, PA announcers, and other event personnel. 
  • Assist in organizing and executing IMG Academy-owned baseball events, showcases, tournaments, and camps. 
  • Collaborate with equipment managers and operational staff to ensure all equipment, uniforms, and field setup needs are met. 
  • Support travel coordination and logistics for Baseball teams, coaches, and staff in partnership with Baseball Operations leadership. 
  • Assist with scheduling, facility preparation, and operational support for visiting high school, collegiate, and professional teams training on campus. 
  • Work cross-functionally with campus departments to ensure all operational and training needs are executed effectively. 
  • Administer contact sheets, intake forms, FHSAA documentation, compliance records, and program check-in procedures. 
  • Serve as the Academic Attendance liaison for the Baseball department. 
  • Assist with parent communication and relationship management throughout the academic year and camp programming. 
  • Support the Camp Director and Baseball leadership with operational planning and administrative needs throughout the year. 
  • Manage office supplies, operational resources, and departmental administrative processes. 
  • Ensure all assigned responsibilities comply with IMG Academy, FHSAA, NCAA, and applicable governing body policies and procedures. 
  • Adhere to all company policies, procedures, safety standards, and business ethics guidelines. 
  • Other duties as assigned 

Qualifications:

  • Bachelor’s degree in Sports Management, Business Administration, Communications, or related field preferred. 
  • Experience working in baseball operations, athletic administration, event operations, or player development environments preferred. 
  • Proficiency with Teamworks, Smartabase, Trackman, HitTrax, PlaySight, and other baseball technology platforms preferred. 
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced team environment. 
  • Excellent written, verbal, and interpersonal communication skills. 
  • Strong attention to detail and ability to work independently while collaborating effectively across departments. 
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook. 
  • Experience using Canva or similar graphic design software preferred. 
  • Ability to adapt quickly and maintain professionalism in high-pressure operational environments. 
  • Flexibility to work evenings, weekends, holidays, and travel as required by the Baseball program schedule. 

Preferred Skills:

  • Advanced proficiency in Microsoft Excel including formulas, pivot tables, macros, and data analysis preferred. 
  • Experience with Python, R, or other analytical tools for sports performance data analysis and visualization preferred. 
  • Experience working camps, tournaments, showcases, or elite baseball events preferred. 
  • Knowledge of NCAA, FHSAA, and baseball operational compliance standards preferred. 
  • Valid driver’s license preferred. 
  • CPR Certification preferred. 

Physical Demands and Work Environment:

  • Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.  
  • Should be able to handle outdoor temperatures for a reasonable period of time. 
  • Must be able to move around campus which includes gym, turf, fields, etc. 
  • Ability to work flexible hours to include nights, weekends and holidays is required
