Job Title: Client Service Associate

Reports to: Branch Operations Manager

FLSA Status: Exempt (salary)

Job Summary:

The Client Service Associate, under general supervision, uses advanced skills gained through training and experience to provide proactive support to financial advisors and assist with efficient, quality client service. This position follows established procedures to perform routine tasks and receives general guidance and direction when performing other work that involves substantial variety and complexity and requires limited decision-making responsibility. The role maintains extensive contact with internal and external clients to resolve most questions and problems and refers new or unusual issues to a higher level.

Essential Duties, Responsibilities & Expectations:

  • Responds promptly and effectively to inquiries, prioritizes time-sensitive tasks, and consistently delivers exceptional customer service through professional verbal and written communication.
  • Interacts daily on the phone and in person with prospective and existing clients including handling basic inquiries.
  • Researches client and security information through the back-office system.
  • Processes and follows up on client documentation for proper maintenance of accounts.
  • Prepares letters, forms, and spreadsheets to assist with servicing existing clients and prospecting for new clients.
  • Creates and maintains records and files.
  • Ensures required client paperwork is current and compliant with firm and industry requirements, rules, and regulations.
  • Maintains databases using portfolio software programs.
  • Assists Financial Advisors with marketing efforts, including seminars.
  • Receives and processes securities.
  • Assists with other operational functions as required.
  • Ensures common areas remain organized and presentation-ready by replenishing office and breakroom supplies as needed.
  • Performs all other tasks requested as they relate to the Bank and its functions.

Supervisory Responsibilities: None

Compliance:

All Team Members are accountable for compliance with all laws, regulations and adherence to established internal controls and procedures when performing their job duties. Each Team Member is expected to be familiar with the legal and regulatory requirements and internal controls affecting his or her job responsibilities. It is the affirmative duty of each Team Member to carry out these responsibilities at all times in a manner that complies with all applicable legal and regulatory requirements and internal controls. All Team Members shall be responsible for communicating upward, problems in operations, noncompliance with the code of conduct, or other policy violations or illegal actions. Team Members must participate in required training on pertinent compliance laws and regulations as required by Signature Bank of Arkansas.

All Team Members will be committed to maintaining a high level of compliance with the Bank Secrecy Act and Anti Money Laundering, USA PATRIOT Act and Financial Recordkeeping regulations recognizing that all three acts are important tools in federal efforts to combat organized crime, terrorism, and drug trafficking.

Education / Experience/Licenses/Certifications:

  • College degree in business field preferred
  • Industry experience is not required; however, experience in an office, administrative, or customer service environment is preferred.

  • Ability to effectively communicate courteously and professionally (both written and oral) with customers, team members, and management.
  • Strong organizational, communication, and interpersonal skills are highly valued; training will be provided for the right candidate.
  • Ability to maintain strict confidentiality.

  • Must be self-motivated and work well in a team environment.
  • Strong computer skills and ability to utilize all necessary software applications including Microsoft Office to produce correspondence, reports, spreadsheets, and databases.
