Job description

Your future role at a glance

Location: Waco, Texas

Facility: Ascension Providence Family Medicine at Woodway

Specialty: Rehab

Schedule: Day Shift | PRN | Monday - Friday 8:00a - 6:00p

How you'll make an impact in this role
  • Execute High-Volume Referral & New Patient Intake: Contact and onboard new outpatient rehab referrals, converting provider orders into timely initial evaluations to ensure seamless access to care.

  • Master Complex Rehab Scheduling Logistics: Manage follow-up appointment matrixes for therapy patients, maintaining provider calendars to ensure care plan continuity and optimal clinic capacity.

  • Command Front-Desk & Telephone Interactions: Serve as the welcoming, professional face of the rehab clinic, providing exceptional customer service during in-person check-ins and high-volume phone calls.

  • Maintain EHR Data & Documentation Integrity: Rapidly index, scan, and upload clinical notes, insurance forms, and external medical records directly into the Electronic Health Record (EHR).

  • Drive Daily Charge Reconciliation & Revenue Support: Audit and reconcile daily charge reports to ensure all completed patient treatments are accurately captured and processed for billing.

  • Collaborate Across Care Teams: Maintain clear, professional communication with physical therapists, occupational therapists, referring physicians, and administrative staff to optimize clinic workflow.

What minimum qualifications you'll need

Education:

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
    • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.

  • Proven Customer Service Focus: Demonstrated success in a high-touch, patient-facing environment, with a warm, welcoming demeanor and a commitment to patient satisfaction.

  • Healthcare Multitasking & Dependability: Exceptional organizational skills and high reliability, with a proven ability to balance phone queues, patient check-ins, and administrative tasks simultaneously.

  • EHR & Technical Competency: Functional experience navigating Electronic Health Record (EHR) platforms, digital scanning tools, and multi-provider scheduling databases.

  • Team-Oriented Mindset: A collaborative team player who thrives in a fast-paced clinical setting and actively supports colleagues to keep the clinic running smoothly.

  • Attention to Detail: High accuracy in capturing patient information, indexing clinical files, and reconciling daily revenue reports.
