The Body Shop Administrative Assistant receives payment from customers and employees for goods or services rendered and records the amount received in an accurate and accountable manner. They sometimes are the customer’s first and/or last contact with the dealership and therefore must represent the dealership in a friendly and professional manner.

Responsibilities
  • Greets customers entering the service area with a friendly, upbeat attitude
  • Forecasts goals and objectives for the department and assists management in meeting them
  • Establishes and maintains good working relationships with insurance adjusters
  • Establishes and maintains good working relationships with customers to encourage repeat and referral business
  • Maintains a professional demeanor while answering customer questions and directs them to the appropriate person or location
  • Receives cash, checks and credit card payments from customers, records amounts received
  • Provides clerical and secretarial assistance to parts and Estimators
  • Follows up on payments with insurance companies
  • Handles customer complaints with integrity and poise and, when necessary, refers dissatisfied customers to the appropriate individuals for resolution
  • Purchase orders for vendors
  • Records customer’s name, VIN, tag number, mileage and existing vehicle damage
  • Additional responsibilities as assigned

Qualifications:

  • Automotive Experience Preferred, but not required.
  • Ability to read and comprehend simple instructions
  • Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization
  • Intermediate level in Microsoft Office Products.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals
  • Ability to organize, prioritize and execute tasks within deadlines.
  • High School diploma or equivalent.
  • Additional hours required during month end.
  • Ability to pass pre-employment background check, drug test and have an insurable driving record.
