JOB SUMMARY
The Payroll Associate is responsible for the day-to-day payroll processing for multi-state operations, reviewing, analyzing, and inputting of timecard data into the company's ERP system, and preparing payroll related reports. Payroll Associate is also responsible for assisting the Payroll Department with providing customer support to internal and external customers.
ESSENTIAL FUNCTIONS
  • Maintain employee records in computer system which includes the processing of new hires, terminations, timesheets, garnishments and deductions into ERP system
  • Communicates with employees regarding payroll wages, employee federal and state income taxes and social security taxes, and deductions and garnishments
  • Ensure accuracy of time sheet data submitted by working closely with departments and employees to resolve time sheet discrepancies in a timely and professional manner
  • Maintain current and accurate employee information, i.e. rates, w4 status, address, phone numbers, etc.
  • Research and resolve any payroll related discrepancies and provide updates to Payroll Manager
  • Prepare and maintain payroll records, reports, and secure proper authorizations when required
  • Document processes' workflows and procedures
  • Audit timesheets and payroll reports for accuracy
  • Complete employment verifications, state workforce claims and return to specific agencies in a timely manner
  • Maintain the confidentiality of all payroll records in accordance with federal, state and company guidelines. Filing and securing all required and necessary payroll documents
  • Assists Payroll Supervisor with audits and records requests by providing payroll related records and documentation
  • Work evenings and/or weekends as required to meet strict payroll/fiscal deadlines
  • Ensure compliance of all safety procedures and policies (including client's) while promoting the Company's safety culture.
  • Performs other duties as requested, directed, or assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS
  • Minimum High School Diploma or GED required.
  • Minimum of 2+ years of Payroll experience required
  • Knowledge of Payroll and Accounting principles

SKILLS / KEY COMPETENCIES
  • Ability to communicate effectively and professionally with customers and employees at all levels.
  • Knowledge of wage withholding orders and garnishments
  • Ability to maintain confidentiality of contract rates, pay rates and other sensitive payroll confidential information
  • Strong communicator with excellent verbal and written communication skills.
  • Ability to read, understand, and interpret contract documents such as scopes of work, and project schedule.
  • Exercise discretion and independent judgement when handling day to day information.
  • Must be proactive and self-motivated with the ability to work with minimal supervision.
  • Excellent time-management skills to plan, organize, and prioritize tasks and responsibilities to meet deadlines and adjust to changing priorities.
  • Ability to work cooperatively across all levels delivering on commitments - results oriented.
  • Strong analytical skills required to understand and interpret data.
  • Ability to complete work with a high degree of accuracy and attention to detail.
  • Proficient data entry skills with ten key ability
  • Ability to master company's timekeeping system within specified training schedule
  • Proficient in Microsoft Office (Word, Excel, Outlook, and Teams).
  • Must be able to work non-routine hours, when necessary.
  • Must have a valid, unexpired driver's license.
  • Ability and willingness to travel as required for out-of-town travel assignments.

PHYSICAL REQUIREMENTS
  • Will work in an office and job site setting (indoors/outdoors).
  • Moving about to accomplish tasks or moving from one worksite to another.
  • Ability to operate a computer and other office productivity.
  • Constantly perform repeating motions that may include feet, leg, wrists, hands and/or fingers.
  • Frequently communicate with other members of the team. Must be able to exchange accurate information in a clear manner.
  • Work that includes moving and/or lifting objects up to 25 pounds.
