The Role

We’re looking for a highly organized and proactive AV Project Manager to lead the planning and delivery of audio-visual projects across trade shows, corporate meetings, and event activations. This role is centered on project ownership: managing timelines, budgets, teams, and client communication while ensuring seamless execution.

What You’ll Do:

  • Own end-to-end project management for live event and AV production projects
  • Act as the “glue” across our teams ensuring alignment between clients, account managers, logistics, and technical crews
  • Build and manage timelines, budgets, and detailed project plans
  • Serve as the primary point of contact for clients after project approval, ensuring clear communication and alignment
  • Coordinate internal teams, vendors, and freelance crews to keep projects on track
  • Translate client goals into actionable plans and production deliverables
  • Specify AV equipment needs based on project quote/scope, venue requirements, and client goals
  • Create and manage detailed equipment lists and pull sheets for each project
  • Partner with warehouse/logistics teams to ensure accurate equipment preparation, packing, and delivery
  • Oversee AV planning in partnership with technical teams (audio, video, lighting, staging, digital content)
  • Create run-of-show documents, production schedules, and technical plans
  • Lead project meetings, including kickoffs, status updates, and post-event debriefs
  • Manage on-site execution, ensuring smooth setup, rehearsals, and live event delivery
  • Assist in troubleshooting issues in real time, supporting our onsite technical crew
  • Track budgets, manage expenses, and identify efficiencies
  • Continuously improve processes to enhance delivery and client satisfaction

What We’re Looking For

  • 3+ years of project management experience in live events, AV production, or experiential environments
  • Strong organizational skills with the ability to manage multiple projects simultaneously
  • Experience supporting or leading trade shows, corporate meetings, or event activations
  • Solid understanding of audio-visual production (able to coordinate, not necessarily engineer)
  • Experience specifying AV equipment and working with production or warehouse teams
  • Proven ability to coordinate across multiple stakeholders and keep teams aligned
  • Excellent communication and client management skills
  • Calm, solutions-oriented mindset under pressure
  • Experience with project management tools (ex: Asana)
  • Willingness to travel and work flexible hours, including evenings and weekends
