Job description

District Data Entry Specialist (Part-Time)

Alpharetta, GA

We are seeking a detail-oriented and reliable District Data Entry Specialist to join our team on a part-time basis (27.5 hours per week, Monday through Friday. Shifts are 5.5 paid hours per day (plus a 30-minute unpaid lunch) and are assigned within the window of 9:00 AM - 5:00 PM EST; specific shift times may vary by assignment). This role is dedicated to accurately and promptly entering school events into GoFan HQ and via CSV imports based on incoming requests routed through our Customer Success and Support teams. Same-day entry and unwavering accuracy are the core expectations, as every event directly impacts school revenue, PlayOn performance, and how schools are perceived within their communities.

The Outcomes You'll Deliver

  • Same-Day, Accurate Event Entry: Every event request received through Customer Success and Support is entered in GoFan HQ or processed via CSV import the same business day, fully reflecting each school's specifications without error.
  • High-Quality Data Standards: Event records are consistently complete, correctly formatted, and self-reviewed before submission, minimizing downstream errors that affect ticketing availability, school revenue, or a school's standing in their community.
  • Organized Request Management: Incoming event requests are tracked and processed systematically so no request is missed, duplicated, or left unresolved.
  • Proactive Issue Resolution: Unclear or incomplete request details are flagged immediately to the appropriate Customer Success or Support team member so issues are resolved without delaying entry.

In this role, you can expect to

Event Entry:

  • Create events manually in GoFan HQ based on specifications provided by schools via Customer Success and Support teams.
  • Process bulk event uploads via CSV import when applicable.
  • Validate all event details (dates, times, sport or activity type, ticketing structure, pricing, and event name) against school requirements prior to submission.
  • Correct and resubmit entries promptly based on feedback from internal teams.

Quality Assurance:

  • Self-review every entry for completeness and accuracy before finalizing.
  • Adhere to established data entry standards and formatting guidelines.
  • Identify and resolve discrepancies or gaps in request information before proceeding with entry.

Request Coordination:

  • Monitor and manage an ongoing queue of incoming event entry requests throughout the workday.
  • Communicate promptly with Customer Success and Support teams when requests are unclear or missing required details.
  • Prioritize same-day processing to ensure school events are live when needed.

Tracking and Accountability:

  • Maintain a daily log of completed entries and open requests.
  • Proactively surface any backlog risks or volume spikes to your supervisor.

To thrive in this role, you have

Attention to Detail:

  • Exceptional accuracy in data entry with a zero-tolerance mindset for errors that impact school revenue or community events.
  • Consistent quality and care even across high-volume, repetitive tasks.

Organizational Skills:

  • Ability to manage a queue of incoming requests and process them in a timely, systematic manner.
  • Self-directed with strong time management skills to work independently within a defined part-time schedule.

Technical Proficiency:

  • Comfortable working in web-based platforms; prior experience with GoFan HQ or similar event management tools is a plus.
  • Familiarity with CSV file preparation and data import processes preferred.
  • Proficiency in Google Sheets or Microsoft Excel for organizing and formatting data.
  • Comfort using AI tools (e.g., ChatGPT, Claude, or similar) to efficiently interpret and process complex or inconsistently formatted schedules arriving from schools.

Communication Skills:

  • Clear, timely written communication with internal teams when clarification is needed on a request.
  • Comfort asking questions rather than making assumptions, because accuracy always comes first.

How You Play:

  • Ownership over Participation - You take responsibility for achieving holistic outcomes, prioritize key objectives, and adapt quickly when situations require a different approach. You follow through even against the toughest challenges.
  • Team over Stars - You are a bridge builder, establishing processes and relationships with teams outside your own. You work to rally around common goals, find win-win solutions, compromise when necessary, and help others succeed.
  • Growth over Comfort - You are driven by a desire to grow and actively seek opportunities to expand your comfort zone, skills, and confidence. You embrace new challenges with curiosity, accepting discomfort and failure as opportunities to learn.
  • Fairness over Popularity - You approach decisions with a scientist's mindset, challenging your assumptions and remaining objective. You consider long-term impact rather than relying on short-term gains, proactively seek others' perspectives, and manage emotions in decision-making.
