Description

The Accounting Associate supports day-to-day financial operations across multiple WindRiver Management entities, with primary responsibility for accounts payable processing, accounts receivable processing and OTA reconciliation. This role requires accuracy, attention to detail, and the ability to manage recurring deadlines across multiple properties and LLCs.


Key Responsibilities

Accounts Payable

  • Code and enter vendor bills accurately to the correct entity, property, department and GL account
  • Match invoices to purchase orders or approvals per company policy
  • Ensure timely entry to support payment run schedules
  • Flag discrepancies (duplicate bills, pricing mismatches, missing approvals) for review
  • Software: Bill.com and Sage Intacct


Accounts Receivable / OTA Reconciliation

  • Reconcile OTA (Online Travel Agency) accounts - Airbnb, VRBO, Booking.com, etc. - against bank deposits
  • Investigate and resolve variances between OTA statements and actual deposits received
  • Maintain reconciliation documentation to support month-end close
  • Credit Card Transactions
  • Assist in credit card charge coding and reporting
  • Software: Emburse Spend


What Success Looks Like

  • Bills entered accurately and timely, minimizing payment delays or duplicate errors
  • OTA-to-bank reconciliations completed on schedule with variances identified and resolved, not just noted
  • Credit card coding clean enough that month-end close doesn't require rework
  • Month-end Journal entries entered accurately and timely


Requirements

  • 1-3 years of bookkeeping or accounting experience (property management, hospitality, or multi-entity environments preferred)
  • Working knowledge of AP/AR processes and general ledger coding
  • Experience with accounting software (e.g., QuickBooks, Sage, or similar); property management or OTA-integrated platforms a plus
  • Strong Excel skills
  • High attention to detail and comfort managing multiple entities/properties simultaneously
  • Clear, professional communication with vendors and internal teams
