Office Manager 

Location: Huntingdon Valley, PA 


Invertice is a telecommunications construction contractor specializing in tower construction, structural modifications, and civil infrastructure for wireless carriers. We perform raw land site builds, tower modifications, antenna and line installation, equipment installations, and supporting civil work across the Northeast, South, and Midwest under direct MSAs with Verizon, T-Mobile, and other major carriers. 

The Office Manager serves as the administrative and operational hub of the company. This role ensures that financial tracking, documentation, vendor coordination, and internal communication systems run efficiently and accurately. 

This is not a passive administrative role. The ideal candidate is organized, process-oriented, and comfortable operating in a fast-paced construction environment where priorities shift and precision matters. The Office Manager works closely with ownership, project managers, field leadership, vendors, and subcontractors to maintain operational flow and financial accuracy. 


Key Responsibilities 

Administrative & Operational Oversight 

  • Manage day-to-day office operations and internal coordination 
  • Maintain organized filing systems (digital and physical) 
  • Support project documentation flow (contracts, COIs, permits, compliance records) 
  • Coordinate onboarding paperwork and employee records 
  • Track and manage business licenses, registrations, and renewal deadlines 
  • Maintain corporate compliance records across states of operation 
  • Assist with preparation and submission of regulatory and compliance documentation 

Financial & Accounting Support 

  • Process accounts payable and accounts receivable 
  • Track vendor invoices, lien releases, and payment schedules 
  • Assist with purchase order (PO) processing and invoice matching 
  • Review and reconcile corporate credit card transactions and expense reports 
  • Support job cost tracking and reporting 
  • Assist with payroll coordination and timesheet verification 
  • Work with external CPA/bookkeeper as needed 

Project & Vendor Coordination 

  • Maintain subcontractor compliance documentation (W-9s, COIs, licenses) 
  • Track subcontract agreements and change orders 
  • Support bid document preparation and distribution 
  • Assist with contract administration and document control 

Executive Support 

  •  Provide administrative support to leadership 
  • Prepare internal reports and operational summaries 
  • Improve systems and workflows to reduce inefficiencies 

Qualifications 

  • 3-5+ years of office management experience (construction industry preferred) 
  • Strong understanding of construction workflows and documentation
  • Experience with accounts payable/receivable and basic job costing 
  • Proficiency in QuickBooks 
  • Strong Microsoft Excel and administrative systems skills 
  • Experience managing subcontractor compliance documentation 
  • High attention to detail and organizational discipline 
  • Strong written and verbal communication skills 
  • Ability to prioritize tasks in a deadline-driven environment
