Job description

Job Overview
The Associate Software Asset Specialist supports onsite SAM execution through HAM/Field Support collaboration, ServiceNow data quality, software discovery, compliance remediation, audit validation, and hardware refresh activities. The role helps improve SAM maturity and documents measurable business value through savings, cost avoidance, efficiency, and data accuracy outcomes. This role is expected to develop quickly through training and guided execution, supporting increasingly complex SAM activities as proficiency grows.
Responsibilities
  • Provide onsite support to HAM and Field Support teams for overlapping projects that involve SAM, including discovery reconciliation, license reclamation tied to device lifecycle, and physical validation at Fairview facilities.
  • Support software non-compliance remediation and device recovery requiring physical hardware access, including re-imaging, manual software removal, offline endpoint remediation, and lost/stolen device recovery with HAM and Field Support.
  • Support software audit and compliance validation through onsite verification of deployment, usage, license assignment, and device ownership, including collection and documentation of audit evidence and chain-of-custody details as directed.
  • Contribute to HAM/SAM ServiceNow data and reporting projects by reconciling hardware records, software installations, license entitlements, and CMDB relationships with HAM and Field Support teams.
  • Perform software discovery and data quality cleanup by comparing ServiceNow SAM, SCCM/Intune, device inventory, and workstation data to resolve missing installs, duplicates, ghost assets, and inaccurate assignments.
  • Partner with HAM and Field Support during hardware refresh cycles to capture licensing impacts, including reinstall decisions, license reclamation, reassignment, retirement, and software removal.
  • Support SAM process, workflow, and technology maturity efforts by completing assigned training, identifying data or workflow gaps, documenting improvement opportunities, recommending practical automation or tooling enhancements, and coordinating or executing approved changes with guidance from senior SAM resources or leadership.
  • Maintain SAM records, databases, tracking, and reporting by updating software asset, license, warranty, service, and lease data; generating routine reports; identifying discrepancies; and escalating issues.
  • Learn day-to-day SAM operations to provide coverage for licensing support, compliance tracking, stakeholder support, and lifecycle management activities when required.
  • Support communication with key stakeholders, including application leadership, security, engineering, enterprise architecture, vendor management, finance, end users, contracting, and others, by gathering information, documenting feedback, and escalating needs through senior SAM resources or leadership.
  • Build SAM capability and improve processes by completing training, developing ITAM and ServiceNow proficiency, sharing knowledge, and suggesting practical improvements that strengthen SAM execution.
  • Track SAM business value and savings impact by documenting efficiency gains, data accuracy improvements, device recovery, license reclamation, cost avoidance, and cleanup outcomes in measurable metrics or dollar-based reporting.

Required Qualifications
  • A.A./A.S. in business or technology field or
  • Combination Education & Experience
  • 1 year of experience in IT, IT Asset Management (ITAM), Field Support, or Service Desk, with exposure to hardware and/or software inventory, discovery, or lifecycle activities
  • Basic understanding of software licensing concepts and IT asset management practices
  • Working knowledge of Microsoft Office (Excel, Word, Outlook) with the ability to organize, sort, and reconcile data across multiple sources
  • Effective written and verbal communication skills; ability to communicate clearly with technical and non-technical team members
  • Demonstrated attention to detail and accuracy in data entry, records maintenance, and reporting
  • Demonstrated ability to follow documented processes, procedures, and work instructions
  • Demonstrated ability to collaborate with peers and cross-functional teams
  • Demonstrated ability to prioritize daily tasks and meet deadlines with guidance from senior team members
  • Ability to work onsite at Fairview facilities to support HAM/SAM overlapping operations

Preferred Qualifications
  • B.S./B.A. in business or technology field
  • 2 years of experience in IT, ITAM, Field Support, or Service Desk
  • Exposure to Software Asset Management (SAM) or Hardware Asset Management (HAM) concepts, tools, or processes
  • Experience with ServiceNow, SCCM, Intune, or comparable IT service management and endpoint management platforms
  • Experience reconciling data across multiple systems of record
  • Experience within the Healthcare Industry
  • Experience in a large, complex organization
  • IAITAM Certification(s)
  • ServiceNow Certification(s)
