Collaboration Core has an outstanding opportunity for an AI & Machine Learning Communications Manager (75% FTE) to join their team.
About this Opportunity
The AI & Machine Learning Communications Manager (75% FTE) is responsible for creating and executing marketing and communications strategies for the academic and research programs of the AI & Machine Learning for Engineering Graduate Programs, AI Center for Dynamics and Control, and the NSF AI Institute in Dynamic Systems. This position interacts regularly with institute directors, faculty and research/ administrative staff across the College of Engineering, and reports to the Associate Director of Communications and External Relations.
The individual in this position utilizes independent judgment and creativity to plan new approaches, develop new resources, and pursue new opportunities for marketing and communications. Examples of these resources include news stories, websites, and social media accounts. If the skills necessary to develop and produce the proposed resource are beyond the skillset of the position, this position will work with colleagues, campus service providers and/ or independent contractors to accomplish the work, troubleshooting when necessary. New opportunities may include nominating faculty leaders for external speaking opportunities and awards or partnering with other UW units or external partners on content and events.
This position works closely with faculty and staff across the College of Engineering as well as several external academic and industry partners to collaborate on marketing and communications strategies. This position is essential to conveying the impact and research, education, and innovation missions of the supported units to the UW community, wider academic communities, prospective students, and other external stakeholders through effective communications programs. This position is responsible for establishing new functions and best practices related to communications. This position consults with Associate Director on complex problems, recommends solutions, and works to implement them. This position also establishes and uses metrics by which to measure the effectiveness of the new resources; if resources underperform, this position identifies problems and proactively suggests improvements and changes.
Key Responsibilities
Communications & Marketing (85%)
-Develop and manage communications and marketing strategies for the AI & Machine Learning for Engineering Graduate Programs, the AI Center for Dynamics and Control, and the NSF AI Institute in Dynamic Systems, based on program goals developed in partnership with the Director and Managing Directors.
Write web stories on faculty, students, and new research and collaborations.
Manage websites for multiple education and research programs. This includes ensuring accessibility, updating web content (program information, videos, images), and ensuring sites adhere to UW brand guidelines.
Establish and implement social media strategies for units: write copy and create interactive content, set goals for and monitor interaction with accounts, coordinate activity with related initiatives, programs, and departments.
Manage YouTube channel for the AI & Machine Learning for Engineering Graduate Programs.
Write, design and distribute regular print and email publications (e.g. e-newsletters, annual reports).
Create and distribute email campaigns targeting AI & Machine Learning for Engineering Graduate Programs' prospective students and alumni, in partnership with the Academic Services Director.
Write copy for and design brand-consistent marketing materials (brochures, flyers, invitations, and announcements).
Collaborate with relevant UW departments to place stories about units in UW publications, on websites and social media channels.
Develop presentations and talking points on units' achievements and plans for directors.
Nominate directors, faculty, and students for relevant speaking opportunities and awards.
Maintain strong working relationships with external affairs office, dean's office, central marketing and communications, advancement, advisory boards, and external partners to ensure smooth execution of communications strategies and special presentations, and to obtain participation and support of key constituents.
Video Project Management (10%)
Track and manage video recording of education modules that make up courses in the graduate certificates. This includes organizing the team that is involved in module recording, managing the module recording schedule, ensuring strategic support is provided to faculty who are recording modules, ensuring all modules are recorded in time for course offerings, and facilitating professional captioning of completed videos.
Other (5%)
Represent units at appropriate meetings and events to stay up to date on regulations, policies, and trends affecting work and seek training opportunities related to marketing and communications.
Other duties as assigned.
Required Qualifications
To be considered for this opportunity your application must demonstrate you meet both the minimum qualifications and additional qualifications listed below. Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Minimum Qualifications:
Bachelor's Degree in Communications, English or other related field
At least two years managing communications programs in an academic research environment or engineering, or technology-focused organization or company, or related field.

Additional Qualifications:
Excellent written, verbal and interpersonal communication skills.
Ability to translate technical subject matters for a general audience.
Ability to use social media platforms to effectively and responsibly communicate brand message.
Experience managing websites.
Experience working in WordPress or Drupal.
Advanced knowledge of MS Office: Outlook, Excel, Access, Word.
Working knowledge of Adobe products: Photoshop, Acrobat Professional, InDesign.
Competence in HTML and content management systems; ability to communicate effectively about web and internet related topics with technical and non-technical audiences.
Attentive to detail and able to work independently with limited oversight.
Demonstrated ability to work effectively and cooperatively in a diverse workplace.
Demonstrated creativity, problem solving and analytical skills.
Proven organization and multi-tasking skills in a fast-paced environment.
Preferred Qualifications:
Ability to quickly learn and use new software packages effectively.
Competence in SEO (search engine optimization) techniques.
Knowledge of news and developments in artificial intelligence and machine learning.
Working Conditions:
Occasional travel outside UW, but within Seattle, for events hosted by partners. Potential for weeknight and weekend event attendance. Participation in occasional evening events.
About the Team
The Collaboration Core is an administrative unit within the UW College of Engineering dedicated to supporting interdisciplinary institutes, centers, and facilities. Designed for flexibility, it adapts to emerging opportunities and evolving needs while delivering exceptional operational support to multiple research units.
Supported by the College of Engineering and its participating units, the Collaboration Core centralizes operations, coordinates staffing, and provides specialized expertise in research administration, education, communications, and event management. It also serves as a resource for units across the college and beyond, offering guidance on managing collaborative research and educational efforts.
