Japanese trading company seeks an Operations Coordinator & Customer Service Representative.
***This is a temporary position; however, based on the skills demonstrated and overall performance during the assignment, if both the candidate and our company mutually wish to proceed, there is a possibility of transitioning to a permanent position. Please note that full-time employment is not guaranteed. ***
Title: Operations Coordinator& Customer Service
Location: Torrance, CA 90502
Period: October 1, 2026 – April 30, 2027
Contract Type: Full-time (more than 30 hours per week)/ Temporary
Hourly Wage: $25–$30 per hour (depending on experience and qualifications)
Work Schedule: 8:30–16:30
*During the training period (through the end of December), on-site work is required every day.
After training, the position will transition to a hybrid schedule: three days in the office and two days remote per week.
Position Summary:
A global Japanese company is seeking a highly organized and customer-focused Operations Coordinator & Customer Service professional to support its optical and imaging-related business divisions.
This role involves order processing, customer service, inventory coordination, logistics support, and cross-functional communication with internal teams and overseas suppliers.
The ideal candidate is detail-oriented, able to manage multiple priorities, and comfortable working in a fast-paced environment.

Key Responsibilities:
Order Management
Process customer orders accurately using ERP systems.
Coordinate domestic and international shipments with logistics personnel.
Prepare proforma invoices for international shipments.
Assist with reports, data entry, and administrative tasks.
Answer and direct incoming phone calls professionally.
Returns & Customer Support
Process customer returns for credit or replacement.
Issue Return Merchandise Authorization (RMA) numbers.
Receive returned products and coordinate inspection with technical teams.
Transfer returned inventory to the appropriate warehouse.
Generate credit memos and rebill invoices when necessary.
Respond promptly to customer inquiries regarding products, inventory, and order status.
Financial Coordination
Work with the Accounting team to resolve payment-related issues and customer account inquiries.
Process orders from e-commerce platforms and dealers.
Verify customer pricing and discount levels.
Coordinate special pricing and volume discounts with the sales team.
Create purchase orders for overseas affiliates and suppliers.
Manage drop-ship orders.
Coordinate product availability and lead times.
Respond to inventory and shipment scheduling inquiries.
Source service parts, confirm pricing, and manage purchasing requirements.
Additional Operational Support
Prepare consignments for trade shows, demonstrations, and sample products.
Process the return of demo and sample equipment.
Support CRM activities, including repair coordination.
Enter and manage website-generated sales leads.
Track company demo inventory.
Perform other duties assigned by management.
Qualifications:
Required
Associate's or Bachelor's degree preferred, or equivalent work experience.
2+ years of experience in customer service, sales support, order management, or operations.
Strong organizational skills with excellent attention to detail.
Business-level English proficiency required
Ability to prioritize multiple tasks in a fast-paced environment.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office (Excel, Outlook, Word).
Experience with ERP systems (Sage preferred).
Strong problem-solving skills and a customer-first mindset.
Must be able to commute to the office and work regular office hours
Must have valid authorization to work in the United States without any visa sponsorship (this position does not offer visa sponsorship)

Experience with Shopify and Amazon Seller Central.
Experience supporting international shipments and export documentation.
