Job description

Executive Assistant

Fahrenheit Advisors has been retained to assist our client, a single-family office, in their search for an Executive Assistant. As a full-service, single-family office, our client provides and coordinates asset management, financial planning, and tax compliance for a small number of UHNW households.

The Executive Assistant will report to and support the President while also working and interacting with all members of the staff, business associates, family and service providers.

The ideal candidate will be a demonstrated self-starter who enjoys working in a high tempo environment and is capable of working independently. S/he will have strong interpersonal, organizational and project management skills. As such, they will be able to work well with others as a part of a small team utilizing effective oral and written communication skills. The Executive Assistant will handle organizational tasks of the highest responsibility and most confidential nature. The successful candidate will possess high integrity with an ownership mentality.

Responsibilities:

  • Assist President in executing the mission of the organization, to include managing calendar, travel arrangements, and a diverse set of special projects.
  • Scheduling meetings, conference calls and other engagements.
  • Assist in regular communication and meetings with family members.
  • Maintain records, registrations for membership on Boards, Professional Organizations and Foundations.
  • Participate in grantee site visits in support of private foundations' philanthropic objectives.
  • Perform miscellaneous research and due diligence as requested.
  • Prepare correspondence, maintain mailing and various address databases.
  • Act as first point of contact for calls/inquiries and direct them appropriately.
  • Work with and coordinate with external vendors to ensure and manage project completion.
  • Other responsibilities as needed.

Education and Experience:

  • A minimum of 10 years work experience preferred.
  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Degree preferred.
  • Proactive and enthusiastic about delivering positive results.
  • Excellent written and verbal communication skills.
  • Project management experience is ideal.

Competitive salary will be based on experience. In addition to vacation, benefits will include qualified health and dental insurance plans, as well as matching contributions to a qualified retirement plan. Executive Assistant will also be eligible for annual performance bonuses.
