The Administrative Assistant works closely with the Director of Nursing to support the organizational needs of the Associate Degree (AD) Nursing Program. This position is responsible for coordinating the administrative functions of the program, including, but not limited to, processing new student applications, LPN-to-RN Advanced Placement applications, and readmission applications; preparing and managing faculty course-related materials (such as skills books, exams, and the annual Student Handbook); collecting and maintaining students' confidential clinical clearance documents on an annual basis; and corresponding with the Pennsylvania State Board of Nursing and the Accreditation Commission for Education in Nursing.

The incumbent must demonstrate effective clerical, organizational, and communication skills to manage the needs of the department while providing support to faculty, staff, and students. Additionally, this position supports the Department of Health Sciences by performing administrative assistant duties, as needed.

PRIMARY FUNCTIONS

  • Assist the Director with new student applications, LPN-RN advanced placement applications, readmissions applications.

  • Coordinate & assist with mandatory AD Nursing program meetings, presentations, student orientation and pinning ceremonies. Including, but not limited to reserving rooms, submitting work orders, creating and sending invitations and flyers, setting up and breaking down the room, greeting guests.

  • File, maintain, and track confidential student records (including drug & alcohol screenings) and evaluations according to guidelines of program, college, and regulatory bodies.

  • Coordinate with approximately 12 clinical sites to confirm each location has the required documentation for the appropriate student(s).

  • Provide front-line customer service to current and prospective students, college personnel, community stakeholders, and regulatory agencies by answering phone calls, taking messages, responding to emails, and assisting with in-person inquiries.

SECONDARY FUNCTIONS

  • Record and maintain minutes for AD Nursing Faculty meeting minutes.

  • Serve as the Bucks+ Coordinator for department of Health Sciences.

  • Process and complete supplier invoices.

  • Perform other duties, as assigned.

MINIMUM QUALIFICATIONS

  • High School Diploma or general equivalency

  • At least 3 years working in a professional office setting.

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook)

  • Excellent written and verbal communication skills

  • Ability to deliver superior customer service to a variety of constituents.

  • Ability to work independently with excellent organizational skills,

  • professionalism, attention to detail, and the ability to multi-task, prioritize tasks.

  • Handle highly confidential information according to program, college, regulatory body, and FERPA regulations.

HOURLY RANGE $23.05 - $24.6635 (commensurate with experience)
