We are looking for an energetic and motivated professional who is eager to develop in a legal environment by supporting Textron's Deputy General Counsel and a collaborative department of lawyers and legal professionals on a wide variety of legal matters. JOB SUMMARY The Executive Assistant will perform administrative support for Textron internal legal counsel and staff at Textron's World Headquarters in Providence, Rhode Island. Qualified candidates will be proactive, service-oriented, and demonstrate strong organizational skills. The successful candidate must have effective written and verbal communication skills and the ability to prioritize and organize projects and workload efficiently so that assignments are completed accurately and in a timely fashion with limited supervision. Additionally, the successful candidate must be able to work directly with vendors to perform duties such as organizing and scheduling travel, arranging training sessions, and resolving issues with invoices, etc.
RESPONSIBILITIES: Managing regular office administrative tasks such as sorting/responding to mail, managing multiple calendars, screening calls and taking messages, preparing expense reimbursement reports, word processing, copying, and providing other ad hoc support to staff. Producing correspondence, spreadsheets, reports, certificates, PowerPoint presentations and other documents. Scheduling travel and other arrangements. Preparing and requesting payments for invoices from third party vendors. Overseeing records management. Scheduling and providing support for meetings. Participating in onboarding of new staff and interns. Providing administrative support for the enterprise Legal Council and Legal Council Working Group meetings. Protecting and maintaining the privacy of employee personnel records and other confidential information. Performing such other duties as may be assigned.
EDUCATION/EXPERIENCE Associate's degree required. Bachelor's degree preferred. Prior experience in an administrative support role is required, preferably supporting multiple individuals in a legal or corporate environment. Familiarity with legal matter databases or other matter management applications is a plus. SKILLS/COMPETENCIES Effective and efficient time management. Can manage and attend to a broad range of activities and an unpredictable workload. Ability to prioritize and organize projects and workload effectively. Comfortable working independently with little or no supervision. Strong problem-solving skills. Robust written and verbal communication skills. Comprehensive knowledge of MS Office suite including Word, Excel, PowerPoint, Outlook, and SharePoint. Willingness and ability to learn new technologies as necessary. Service-oriented and dedicated to exceeding the expectations of internal and external customers. Strong interpersonal skills. Ability to work collaboratively with others and to function well in a team environment.
