Job description

Assistant Operations Manager

Position Summary

Rising Star Corp is seeking a motivated, organized, and detail-oriented Assistant Operations Manager / Quality Assurance & Safety Coordinator to support daily operations across multiple commercial and government facilities. This position plays a critical role in ensuring exceptional customer service, maintaining quality standards, supporting field supervisors, coordinating specialty projects, and promoting a safe work environment.

The ideal candidate will possess strong leadership, communication, organizational, and problem-solving skills while thriving in a fast-paced environment.

Key Responsibilities

Operations & Customer Relations

  • Respond to customer requests, questions, and complaints within a 2-4 hour response time.
  • Conduct customer walk-throughs to evaluate service quality and address customer concerns.
  • Develop and implement corrective action plans for ongoing service issues.
  • Build and maintain positive relationships with customers through regular communication and
  • follow-up.
  • Pursue opportunities for additional contracts, special projects, and service expansions.

Operations Administration

  • Review, verify, and assist with employee payroll.
  • Create and coordinate schedules for specialty floor care and other project work.
  • Maintain equipment inventory and upload equipment maintenance records into Microsoft WTEAM.
  • Update site log books annually and ensure required documentation remains current.
  • Monitor and approve supply orders while maintaining appropriate inventory levels.
  • Assist with employee staffing by conducting phone screenings, collecting onboarding documents, and creating employee personnel files.

Leadership & Quality Assurance

  • Train, mentor, and provide ongoing guidance to field supervisors.
  • Conduct semi-annual employee performance evaluations.
  • Perform routine quality control inspections at customer facilities.
  • Prepare and distribute quality control reports to customers and supervisors.
  • Ensure corrective actions are completed promptly and documented appropriately.
  • Promote continuous improvement in service quality and operational efficiency.

Safety Responsibilities

  • Conduct quarterly employee safety meetings.
  • Maintain records of workplace accidents, incidents, and near-miss events.
  • Ensure all employees complete required safety and compliance training.
  • Train employees on company safety procedures, proper equipment usage, and contract scope of work.

Qualifications

  • Previous experience in janitorial operations, facilities management, quality assurance, or operations
  • management preferred.
  • Strong leadership and supervisory skills.
  • Excellent customer service and conflict resolution abilities.
  • Strong organizational and time management skills.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Proficient with Microsoft Office (Word, Excel, Outlook); experience with Microsoft Teams or WTEAM is a plus.
  • Valid driver's license with the ability to travel between customer locations.
  • Ability to work flexible hours, including occasional evenings and weekends, as business needs require.

Preferred Skills

  • Commercial janitorial industry experience.
  • Experience managing multiple locations and field employees.
  • Knowledge of quality assurance programs and safety compliance.
  • Experience with payroll review, scheduling, inventory management, and employee training.
