About the Opportunity

The Sales & Marketing Assistant is responsible for assisting the Director of Sales & Marketing in actively acquiring and managing short- and long-term leads. These responsibilities include handling all telephone, walk-in, and inbound mail inquiries; qualifying prospects; converting qualified leads to tours; converting tours to deposits; and, assisting with move-ins in accordance with established procedures. The Sales & Marketing Assistant is also responsible for the entire move-in process until the contract is executed by the Executive Director as well as the smooth transition of a new resident into the community. The Sales & Marketing Assistant will maintain a thorough knowledge of the property's product and services to effectively and accurately represent the property to referral sources and prospects. Reports to: Executive Director.

Responsibilities:

  • Greet and assist residents, families, guests, staff and visitors at the reception desk and respond appropriately to all inquiries about the community.
  • As directed, handle all inbound telephone, walk-in and mail inquiries including completing the inquiry information form, entering inquiry information and follow-up correspondence.
  • Qualify prospects, convert qualified prospects to tours and convert tours to deposits using the sales process.
  • Give community tours as a backup to the Director of Sales & Marketing and provide marketing information in accordance with the marketing process.
  • Follow-up with all qualified inquiries in a timely manner. Coordinate inquiry follow-up activity with Director of Sales & Marketing.

Qualifications:

  • Associates Degree preferred
  • One (1) year experience in a sales administrative support role working in assisted living / long-term care industry involving customer service
  • Enjoys working with the senior population
  • Strong verbal and written communication skills
  • Excellent telephone etiquette
  • Consummate people skills. Demonstrates talent at interacting effectively with all types of people
  • Ability to use Microsoft Windows, including Word, Outlook and Excel. Ability to use email and the Internet. Ability to use client tracking and design software.
  • Proficient organizational skills and must be detail oriented
  • Ability to solve problems
  • Can define own role, take on responsibilities, and manage priorities with minimal guidance
  • Projects a professional and polished image that inspires confidence and trust
