Description
The Asst VP, Registrar serves on the VP's leadership team and promotes collaboration within and between the Office of Admissions and Financial Aid and the Office of the Registrar, assisting the VP with full integration of policies, procedures, and programs of the Offices.
Examples of Duties
The Asst VP, Registrar leads and directs staff in producing accurate
transcripts; and in the organization, maintenance, and preservation of all
official academic records and documents of the students and courses of New
College of Florida.
The Asst VP, Registrar carries primary responsibility for the
College's student evaluation and course management systems,
and the Registrar is an active primary user of these systems.
The Registrar leads and directs staff in ensuring accuracy of
data with regard to student records and related topics; and
delivering that data efficiently to the Office of Institutional
Research and Assessment and external constituencies (e.g.,
U.S. Departments of Education and Veterans Affairs, National
Student Clearinghouse, Department of Homeland Security). The
Registrar assists the Offices of Institutional Research and
Assessment and Admissions and Financial Aid with meeting
government-mandated reporting requirements.
The Asst VP, Registrar leads and directs staff in providing
excellent customer service to faculty and students, ensuring
efficient and professional handling of their requests with regard to
student records and with regard to the student information
system.
The Asst VP, Registrar leverages key registration-related points of contact
with students to assist them in ultimate progress to graduation (e.g., actively
soliciting submission of forms and use of the Course Request System). The
Asst VP, Registrar collaborates with other offices regarding students who fail
to file forms on time to encourage completion and gather data for predicting
enrollment. The Asst VP, Registrar is responsible for interpreting policy,
ensuring that Office of the Asst VP, Registrar procedures and practices
support the College's mission and goals; the Asst VP Registrar ensures that
these procedures and practices are also consistent with federal and state law,
the Florida Administrative Code, Florida Board of Governors Regulations, and
NCF Board of Trustees Regulations, in addition to meeting the standards of
best practice as defined by national professional associations, such as
AACRAO, related to records management, registration, and higher education
research practices.
The Asst VP, Registrar is responsible for developing, implementing,
monitoring, and supervising the major functions of the Office of the Registrar,
which include: 1) maintaining student records (registration; receipt of
academic records and
information; assignment of transfer credit; design and maintenance of the
student evaluation system; accurate recording of assessments; determining
the academic standing of students and course of action for students out of
status; determination of changes to residency for current and returning
students; degree audits; formal issuance of diplomas; commencement
planning and participation; and generation of transcripts, 2) course record
management (coordination of course records; and creation and
implementation of the course schedule/offerings), and 3) reporting
and communication (fulfilling state and federal reporting requirements;
enrollment and graduation verification; release of student information in
accordance with FERPA, Florida statute, and College regulations; production
of academic and registration calendars; communication with faculty regarding
registration and assessment requirements; communication with other
members and units of the College community regarding student record and
course record issues; tracking and reporting student information for financial
aid reporting, including determination of last date of attendance for students
who withdraw; and preparation of ad hoc reports). The Registrar or a
designee will serve as the New College CCR - Cross-College Registration
- Coordinator and assists with the editing of appropriate content of the
undergraduate and graduate catalogs.

Minimum Qualifications
Minimum Education: Master's degree preferred from an accredited institution in an
appropriate area of specialization and 8 years of demonstrated,
progressive experience with Registrar's duties and responsibilities or
Bachelor's degree from an accredited institution in an appropriate area
of specialization and 10 years of demonstrated, progressive
experience in enrollment services.
Minimum Experience: Demonstrated success at a selective liberal arts institution with a
national reputation and mission. Knowledge of federal and State of
Florida aid programs. Experience with registrar functions in Florida
SUS and experience with Florida Board of Governors regulations.
Experience with Ellucian Banner. Hands-on experience in design and
production of electronic reports. Ten (10) years of supervisory
experience, Knowledge of best practices in strategic enrollment
management and trends in higher education, especially those related
to student retention and student records. Knowledge of and facility with
information technology systems, including systems and computer
applications relevant to enrollment services management. Excellent
organizational skills, interpersonal and supervisory skills, excellent oral
and written communication skills, and excellent project management
skills. Ability to administer the Student Evaluation System (SES),
including providing backup for entry and uploading of information to
and from the College's student information system, produce ad hoc
and standard reports, and gather information required and needed for
the day-to-day performance of the unit. Ability to transmit accurate
data files to NSLDS, National Student Clearinghouse, the Florida
Department of Education, the U.S. Department of Education, and other
external entities, and create and run reports to verify accuracy of
information. Ability to serve as a positive role model in the unit, work
with a wide variety of people from varied backgrounds, and work as
part of a management team. Ability to define problems, collect data,
establish facts, and draw valid conclusions. Ability to read, analyze,
and interpret complex documents. Ability to prepare and analyze
statistical reports. Ability to travel and work evening/weekend hours in
excess of 40 hours per week at the request of the Vice President for
Enrollment Management
Preferred Qualifications
Master's degree preferred.
Demonstrated, progressive experience with Registrar's duties.
