Position Summary

The Personal Assistant to the CEO manages daily household operations, errands, scheduling, and logistics to help the CEO streamline both professional and personal obligations. Key responsibilities may include childcare support, home organization, vendor management, travel planning, and administrative tasks. This hybrid role demands high discretion, flexibility, and strong organizational skills.

Duties and Responsibilities

  • Scheduling and Calendar Management: Manage a unified calendar that integrates professional commitments with family priorities such as school, children's activities, appointments, and family vacations.
  • Child and Family Support: Manages school pick-ups/drop-offs, and planning/transporting children to activities or appointments. Plans and prepares simple meals or lunches for the family.
  • Personal Assistance: Responsible for grocery and/or personal shopping, coordinating automotive service, answering calls/emails, and booking personal or work-related travel.
  • Household Support: Handles household bills, organizing, doing laundry, and light cleaning. Acts as the point of contact for household staff (nannies, housekeepers, contractors) to ensure the home runs like a well-oiled machine.
  • Pet Care: Responsible for feeding, walking, and scheduling vet visits for pets.
  • C-Suite Support: May be requested to draft memos, manage an inbox, and help prepare the CEO for a high-volume meeting schedule.

Required Experience

  • 5+ years of experience supporting C-suite executives or high-net-worth individuals.
  • Experience coordinating complex multi-city or international travel with last-minute changes
  • Experience managing household staff, vendors, and personal family scheduling
  • Experience managing an onslaught of requests and triaging appropriately.

Knowledge, Skills, and Abilities

  • Bachelor's degree in business administration, communications, English, public relations, or psychology
  • Expert written and verbal communication skills.
  • Exceptional technology and calendar management skills, including Microsoft 365 and project management tools
  • Ability to independently manage shifting priorities, dynamic schedules, and complex logistical tasks.
  • Strong regard for confidentiality, and ability to sensitively and discreetly handle financial, legal, and/or personal family information.
  • Exceptional intuition and ability to anticipate and resolve issues before they arise.
  • Strong interpersonal skills to liaise with vendors, teachers, and household staff.
  • A "get it done" mindset, including flexible availability for early mornings, late evenings, weekends, and occasional travel
  • A valid driver's license and a clean driving record are required, as primary duties include transporting family members, running time-sensitive errands, and managing vehicle maintenance.

Physical Requirements

The successful candidate must possess the physical stamina to maintain a high level of activity throughout a non-standard workday. This role requires a "boots-on-the-ground" approach, involving frequent movement between a corporate office, a private residence, and various off-site locations. The assistant must be comfortable standing or walking for extended periods-whether coordinating a large-scale event, overseeing household vendors, or navigating busy airports-and must be able to transition quickly from sedentary desk work to physically demanding errands.

Manual dexterity and moderate physical strength are essential for daily success. You should be capable of lifting and carrying up to 50 lbs to manage heavy luggage, grocery hauls, office supplies, and child-related equipment (such as strollers or car seats). The role also requires the ability to bend, stoop, and reach to assist with household organization, tech setup, or emergency "fixes" around the home and office.

Furthermore, this position entails significant time spent driving in varying traffic and weather conditions. You must be physically capable of operating a vehicle safely for extended durations, which includes the loading and unloading of passengers and cargo. Beyond the muscular requirements, the role demands high sensory awareness and the ability to remain physically poised and calm under the neurological stress of tight deadlines and shifting priorities.

Compensation: In the spirit of pay transparency, the starting pay for this role is between $60k - $70k per year.

The range listed above represents a good-faith anticipated range for this position. The actual compensation offered will carefully consider a wide range of factors, including your skills, qualifications, and experience. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package for the position.

Employees will be required to follow any other job-related instructions and to perform any other job-related duties as assigned. All duties and responsibilities are essential functions and requirements and are subject to possible modification to reasonably accommodate individuals with disabilities.
