Job description

POSITION OVERVIEW

The Assistant Project Manager (APM) plays an essential role in keeping our projects organized, accurate, and moving forward. Working alongside experienced Project Managers and field leaders, the APM supports the team by coordinating documentation, communication, and project details with precision and consistency.

KEY RESPONSIBILITIES

Project Coordination & Documentation

  • Maintain accurate and organized project records, drawings, RFIs, submittals, and meeting notes.
  • Support the Project Manager in coordinating communication between office and field teams.
  • Ensure documents, permits, and reports are current, clearly labeled, and easy to locate.
  • Track project updates and ensure the team has the information needed to stay aligned.

Subcontractor & Vendor Support

  • Assist with subcontractor onboarding, including insurance verification and compliance.
  • Prepare and process subcontracts, purchase orders, and pay applications according to company procedures.
  • Support trade partners by helping them navigate Procore and other systems to ensure timely, accurate submissions.

Scheduling & Process Management

  • Help monitor project schedules, key milestones, and deliverables.
  • Coordinate the submission and follow-up of RFIs, submittals, and change orders.
  • Work closely with the field team to ensure materials, inspections, and utilities are scheduled as needed.
  • Document meeting action items and help maintain accountability across project tasks.

Project Closeout

  • Assist in gathering and submitting all closeout documentation - warranties, lien waivers, completion certificates, and other required items.
  • Confirm all records are complete, organized, and filed according to company standards.
  • Help ensure every project is turned over neatly, accurately, and on schedule.

QUALIFICATIONS

  • Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred.
  • 3–5 years of experience supporting project management or coordination in commercial construction.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Proficiency with Procore, Bluebeam, Microsoft Office Suite (Word, Excel, Outlook), and project scheduling tools.
  • Excellent written and verbal communication skills.
  • Dependable, conscientious, and steady under pressure.
  • A team-first mindset with a genuine commitment to doing quality work.
