The Assistant Director of Visitor Experience leads the design, planning, and execution of CU Boulder's signature visit experiences, championing innovative tour design, future ready programming, and dynamic visitor engagement strategies that elevate CU Boulder's academic story and drive application and confirmation outcomes. This role brings a forward-thinking, growth minded approach that pilots new concepts, tests emerging visitor experience models, and leverages data, technology, and creative storytelling to continuously evolve how guests experience the CU Boulder campus.
CU is an Equal Opportunity Employer and complies with all applicable federal, state, and local laws governing nondiscrimination in employment. We are committed to creating a workplace where all individuals are treated with respect and dignity, and we encourage individuals from all backgrounds to apply, including protected veterans and individuals with disabilities.
Who We Are
As one of only 35 U.S. public research institutions in the Association of American Universities (AAU), CU Boulder is about realizing the positive impacts of new knowledge.
From offering dozens of exciting programs in a range of academic fields, to serving as one of the world's most dynamic research and innovation hubs, to working closely through hundreds of public outreach efforts with communities across Colorado and the world, we take pride in helping our students, faculty, staff, and partners turn new insights into productive outcomes that change lives.
What Your Key Responsibilities Will Be
Event Leadership, Campus Visit Operations & Experience Design
- Introduce innovative program models with interdisciplinary academic showcases that allow guests to personalize pathways based on their interests.
- Create pilot programs to explore emerging experience technologies, inclusive storytelling frameworks, or creative visitor pathways.
- Pilot new tour formats to better align with audience needs and evolving recruitment trends.
- Explore creative uses of campus spaces and interactive touchpoints to tell CU Boulder's story in dynamic and memorable ways.
- Embed user experience testing into program development to ensure each event iteration becomes more efficient, scalable, and aligned with strategic recruitment outcomes.
- Lead large scale event planning and execution for CU Boulder's flagship prospective and admitted student programs, including and not limited to Admitted Buff Days, ASIST, Discover CU Boulder, and Explore CU Boulder.
- Oversee end-to-end logistics: guest registration, capacity planning, space reservations, run-of-show development, scripting, staffing models, day-of operations, stakeholder coordination, accessibility planning, and brand aligned experience design.
- Ensure each program highlights CU Boulder's academic strengths, student services, and campus culture, reinforcing recruitment, application, and confirmation goals.
- Manage the daily visit ecosystem including tours, information sessions, VIP and access programs, ensuring operational consistency and visitor readiness.
- Partner with the Office of Admissions to support event logistics for specialized populations and events including Transfer and Top Scholar experiences.
- Optimize tour capacities, route design, time slots, flows, queueing, and building utilization to support institutional priorities.
- Review, approve, and monitor budget requests and expenditures within the visit program portfolio, ensuring fiscal responsibility and alignment with departmental priorities; maintain accountability for budget decisions in partnership with the Associate Director & Director.
- Partner with the University Memorial Center (UMC) and Visitor Experience and CASE Coordinator to submit an Event Management Form (EMF) process for all on-campus Visitor Experience events and assist in the coordination UMC bookings/reservations, including room setups, catering orders, and accuracy verification.
Staff Leadership, Team Culture & Student Ambassador Development
- Supervise the Specialized Event & Engagement Coordinator and the Tour & Ambassador Coordinator, providing coaching, regular check-ins, professional development, and annual reviews.
- Cultivate a team culture grounded in innovation, reflection, inclusivity, and continuous improvement.
- Provide leadership and strategic guidance to the Student Ambassador program, ensuring high-quality tour delivery, strong storytelling, reliable scheduling, and a welcoming, inclusive visitor experience for diverse populations.
Marketing, Communications & Slate/CRM Integration
- Serve as a primary liaison to Marketing & Communications for event promotion, brand aligned messaging, tour scripting, and digital/print collateral.
- Collaborate closely with Slate/CRM teams to build events, maintain templates and folder structures, refine guest communication flows, support survey deployment, and ensure seamless registration and follow-up workflows.
- Lead testing and iterative improvements to messaging, sequences, and event related communications.
- Collaborate on future oriented communication strategies, including customizable digital itineraries, dynamic visit confirmations, and real time messaging that elevate brand engagement.
- Lead iterative improvements to storytelling formats and segmented attendee journeys informed by CRM data.
Safety, Risk Management, Data Insights & Operational Protocols
- Develop and maintain CU Boulder's hazardous weather and operational disruption protocol, including contingency routes, indoor alternatives, ADA accessible options, communication plans, and staffing assignments.
- Establish and maintain standard operating procedures for tours, presentations, signage, volunteer/student staffing, and peak day operations.
- Analyze visitor counts, capacity trends, surveys, and operational data to inform ongoing improvements and strategic decision-making.
- Incorporate technological tools (geolocation features, digital route adjustments, automated alerts) to evolve the hazardous weather and operational disruption protocol into a more adaptive and responsive system.
- Use predictive data to forecast peak visitor periods and proactively design innovative staffing and routing solutions that maximize capacity.
Operations Support and Development
- Deliver high-quality information sessions and assist in training new staff and ambassadors on tour and presentation standards.
- Collaborate with colleges and campus units to ensure academic content and programmatic offerings remain aligned and up-to-date.
- Support the Center for Academic Success & Engagement building (CASE) and tour operations requiring occasional Saturday coverage and Counselor on Duty rotations.
- Participate in workshops, conferences, and professional development opportunities.
