Job Overview:

An Assistant Manager is responsible to Assists the Office Manager in overseeing the daily operations in one specific location, including the front, back end and procedure room.

Essential Functions:

  • Assists with and may have respnsiblity for the hiring process, new employee integration, performance management, and employee development of the front office/desk and non-provider clinical team.
  • Manages the work schedule of staff and providers.
  • Assists in analyzing all reports (focusing on OKRs), in identifying trends, and in developing and implementing the corrective action plans.
  • Maintains and organizes all filing and patient record systems.
  • Monitors inventories of all items (both front office and clinical areas) required to operate; places orders as needed.
  • Ensures facility compliance with applicable laws and regulations; reports issues (disrepair, ADA, etc.) ensuring timely resolution.
  • Addresses and resolves billing inquiry from patients.
  • Follows-up with providers on coding related inquiries and ensures completion/resolution.
  • Resolves complex complaints/concerns raised by the patients
  • Assists the Office Manager in preparing for accreditation and other inspections.
  • Acts as a back-up for roles supervised and for own manager

Qualifications:

  • High school diploma required; Bachelor's Degree preferred
  • Four (4) or more years of experience in front office experience in a medical practice, with at least 2 years in a supervisory or managerial role or equivalent experience
  • Proficiency in EMR systems, MDLand is a plus
  • Bilingual (English and Mandarin Chinese)
  • Excellent verbal and interpersonal communication skills
  • Adept at building relationships
  • Customer service orientation
  • Highly proficient in training and mentoring
  • Leads by example and with integrity
