Job description

TITLE: Office Assistant/ Registrar

JOB FUNCTION: The School Receptionist reports directly to the Principal. The role provides services in support of the school mission. The part-time position performs a wide variety of clerical and secretarial duties to organize, coordinate, assist and support the administration, students and parents at the school. The front of house position assures a hospitable and welcoming presence to the public and entire school community.ย 
DUTIES AND RESPONSIBILITIES:ย 
ย ย ย ย Organize, coordinate and schedule a variety of office activities to assist the Administration team with tasks, prepare and accurately maintain a variety of reports, records, and files relating to students, operations, and activities.ย 
ย ย ย ย Provide information concerning school policies, procedures, actions, activities, and schedules as appropriate; and maintain the school calendar.
ย ย ย ย Perform public relations and communication services for the Administrationย 
ย ย ย ย Maintain SIS (student information system), including enrollment/parent/student information, health records, and school scheduling structure





KNOWLEDGE OF:ย 
ย ย ย ย Modern office practices, procedures, and equipment, including hardware/software
ย ย ย ย PowerSchool, Microsoft products, MailChimp ย 
ย ย ย ย Organization and tracking of all permanent student records/filesย 
ย ย ย ย Strong oral and written communication skills, ability to compose correspondence independentlyย 
ย ย ย ย Strong Interpersonal skills, including patience with young children, support of staff and parents




ABILITY TO:ย 
ย ย ย ย Maintain good public relations with students, parents, staff, and the publicย 
ย ย ย ย Provide clerical assistance as requested by Principal and perform other duties as assigned.ย 
ย ย ย ย Complete Daily student attendance tracking, including contacting parents by phone to confirm attendance or absence, tardy, etc.ย 
ย ย ย ย Register, release or transfer student records; complete and maintain enrollment information.
ย ย ย ย Answer telephone and route calls, provide general information to vendors/public calling the schoolย 
ย ย ย ย Work confidentially with discretion of student and staff informationย 
ย ย ย ย Complete tasks with many interruptions and work independently and collaboratively ย 
ย ย ย ย Meet schedules and timelines and be present in the school office both before and after school hours.ย 
ย ย ย ย Assist students when ill and injuredmaintain current CPR and First Aid certification and training. Dispense medication as neededย 
ย ย ย ย Open, distribute and organize incoming mail/email and ensure outgoing mail
ย ย ย ย Organize, track all permanent student record cards/files/test results.
ย ย ย ย Register, release or transfer student records
ย ย ย ย Complete and maintain enrollment information through student information system
ย ย ย ย Organize classes, sections, schedules in student information system
ย ย ย ย Maintain accurate parent/student database in student information system
ย ย ย ย Prepare and assist school Nurse with preparation of health alerts, reports to Washington State.ย 
ย ย ย ย Maintain records of student medicationย 
ย ย ย ย Prepare Health Alert for staff

















PHYSICAL DEMANDS:ย 
ย ย ย ย Work is performed while standing, sitting, or walkingย 
ย ย ย ย Requires the ability to lift, carry, push or pull light weights, up to 30 poundsย

Salary: Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.
Hourly Range: $30.27-$34.02ย 
Hours: Wednesday-Friday (7:30am-3:30pm)
Academic Calendar with additional weeks in June and August for school closure and openingย 
Benefits: Eligible if 30+hours a week A comprehensive package of benefits is offered including two medical plan options, dental, vision, life, accidental death and disability, long term disability, pension, 403(b), HSA, FSA, and generous sick leave, vacation, and holidays.ย 
Paid Holidays: Eligible if 20+ hours a week
