Job description

SUMMARY:

This position acts as a general assistant to the department and/or campus, performing clerical office functions related to daily operations as well as assisting the department. These responsibilities are performed in an ethical manner consistent with the University's mission, vision, and values which include diversity, equity and inclusion.

RESPONSIBILITIES:

  1. Responsible for creating, maintaining and updating files and record keeping systems.
  2. Generate reports, memorandums, correspondence, presentation materials, spreadsheets and graphics, and other materials using various software programs.
  3. Sort and distribute incoming mail and faxes.
  4. Assist with special events and functions as needed.
  5. May be responsible for greeting visitors, as well as answering and routing incoming calls.
  6. Schedule and confirm appointments.
  7. Handle documents while maintaining appropriate confidentiality.
  8. Conduct special projects, research and assignments as needed.
  9. Answer multi-line phone system and route calls appropriately.
  10. Provide GREAT customer service, anticipating and exceeding the needs of our customers.
  11. Demonstrate and promote the University Cultural Values.
  12. Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
  13. Perform other duties as assigned.

Library

  1. Assist with shelving library materials and maintaining organized library stacks.
  2. Process and maintain reserve materials.
  3. Participate with inventory process.
  4. Maintain computer lab printers
  5. Monitor computers and report any problems to staff in a timely manner.
  6. Monitor students to ensure that rules and procedures are being followed.
  7. Assist in media equipment management.
  8. Provide instructional guidance for users of copy machines and other library equipment.
