Reporting to the National Client Relations Manager, this role serves as the central point of coordination for project planning, tracking, reporting, documentation, and communication across the Records & Information Governance program.Working closely with the National Client Relations Manager, Records Operations Manager, and specialty team leaders, the Program Manager helps ensure commitments are met, projects remain on track, deadlines are achieved, and priorities are effectively managed. This role provides structure and visibility across a complex portfolio of initiatives by managing project plans, facilitating stakeholder coordination, maintaining governance documentation, tracking key deliverables, and supporting leadership with operational reporting and project administration.The ideal candidate is highly organized, detail-oriented, and capable of managing multiple concurrent initiatives while helping leaders stay focused, informed, and accountable for project outcomes.In short: This role serves as the organizational hub of the Opensity Solutions Records & Information Governance leadership team, providing project management, coordination, reporting, and accountability across multiple concurrent initiatives to ensure commitments are executed on time and with high quality.Core ResponsibilitiesProject & Program CoordinationCoordinate multiple Information Governance and Records Management initiatives simultaneously.Develop and maintain project plans, timelines, milestone schedules, action plans, and implementation trackers.Monitor project progress and proactively identify risks to deadlines and deliverables.Follow up with project stakeholders to ensure commitments, milestones, and action items are completed on schedule.Coordinate project intake, prioritization, and workload tracking.Leadership SupportSupport the National Client Relations Manager and Records Operations Manager by maintaining visibility into ongoing initiatives, priorities, and resource needs.Organize and facilitate project meetings, leadership meetings, and stakeholder working sessions.Capture meeting notes, decisions, action items, and follow-up activities.Maintain centralized documentation for projects, initiatives, and records-related activities.Assist leadership with preparing status updates, reports, presentations, and executive communications.Documentation & ReportingCreate and maintain project dashboards, status reports, KPI trackers, risk logs, and project documentation.Develop and maintain project documentation, implementation plans, and workflow documentation.Provide regular reporting on project health, milestone completion, and upcoming priorities.Track and manage dependencies across multiple initiatives and stakeholder groups.Cross-Functional CoordinationPartner closely with the Records Operations Manager, specialty team leaders, client stakeholders, and support teams to coordinate project activities.Ensure alignment across multiple workstreams and project priorities.Escalate issues, risks, and resource constraints when appropriate.Help establish consistent project management practices, workflows, and tracking methodologies across the organization.Ideal CandidateThe ideal candidate is an experienced project or program manager who thrives in a fast-paced environment and enjoys bringing order, structure, and accountability to complex initiatives.
