Executive & Personal Assistant / Special Projects Coordinator


About the Role


We are looking for an exceptionally resourceful, organized, tech-comfortable, and hands-on Executive & Personal Assistant to work directly with a busy entrepreneur and CEO.


This is not a traditional desk-only Executive Assistant position.


The right person will become a highly trusted, go-to resource who can help solve a very wide variety of business and personal needs. On one day, you might help coordinate travel, research an AI platform, follow up with a contractor, and organize a business project. On another, you might meet a repair person at a property, set up a computer, list an item on eBay, check on a house while the owner is traveling, or figure out how to get Christmas lights installed.


The common denominator is simple: things need to get done, and you are someone who figures out how to get them done.


This position is ideal for someone who enjoys variety, likes solving problems, is naturally curious, and can move comfortably between technology, business, household, travel, and logistical projects.


What You’ll Do


Responsibilities will vary considerably and may include:


* Manage personal and business projects from initial request through completion.

* Research, identify, contact, and coordinate contractors, vendors, repair professionals, and other service providers.

* Meet contractors, vendors, deliveries, or service professionals at homes, offices, or other properties when needed.

* Assist with household and property-related projects, including checking on properties while the owner is traveling.

* Coordinate travel, including flights, hotels, transportation, itineraries, reservations, and last-minute changes.

* Assist with computers, phones, printers, Wi-Fi, software, apps, and other everyday technology.

* Research new technologies and help implement AI tools and other productivity systems.

* Help organize information, files, accounts, subscriptions, passwords, devices, and digital resources.

* Conduct internet research and quickly identify the best solution, vendor, product, service, or person for a particular need.

* Post and manage items for sale on platforms such as eBay or similar marketplaces.

* Coordinate purchases, returns, shipping, deliveries, and miscellaneous errands.

* Follow up with employees, contractors, vendors, and business partners to make sure projects continue moving.

* Assist with special business projects, websites, online platforms, product initiatives, and administrative tasks.

* Help with occasional hands-on projects when appropriate—from organizing an area to helping coordinate or assist with seasonal projects such as Christmas lights.

* Handle miscellaneous personal errands and time-sensitive requests.

* Anticipate problems and take initiative to solve them before they become bigger issues.

We are less concerned with having a traditional Executive Assistant résumé and more interested in finding someone with the right intelligence, attitude, judgment, and resourcefulness.


You should be someone who:


* Is extremely resourceful and naturally figures things out.

* Is highly organized but can operate effectively when priorities change quickly.

* Is comfortable with technology and learns new software quickly.

* Is interested in AI and willing to learn how to use new AI tools.

* Is an excellent internet researcher.

* Communicates clearly and professionally with executives, employees, contractors, vendors, and service professionals.

* Is comfortable following up repeatedly when necessary to get something completed.

* Has strong judgment and knows when to make a decision independently versus when to ask.

* Can manage multiple open projects without losing track of details.

* Is trustworthy and understands the discretion required when working with someone’s business, home, travel, and personal information.

* Is comfortable working independently without constant supervision.

* Doesn’t need every assignment to come with detailed instructions.

* Is willing to handle both important business projects and seemingly small personal tasks with the same level of attention.

* Has reliable transportation and is comfortable traveling locally as part of the position.


The Person Who Will Thrive in This Position


You are the type of person who, when given a problem you’ve never encountered before, thinks:


“I’ll figure it out.”


If a computer isn’t working, you’ll troubleshoot it or find the right person to fix it.


If a contractor isn’t responding, you’ll follow up and find another solution.


If we’re traveling and something changes, you’ll work through the alternatives.


If we need someone to repair something at a property, you’ll research the options, compare them, schedule the best candidate, and make sure the work actually gets completed.


If there’s a new AI application that could save hours of work, you’ll learn how it works and help implement it.


We are looking for someone who gets satisfaction from removing problems, creating organization, and making life and business run more efficiently.


Experience


Previous experience as an Executive Assistant, Personal Assistant, Family Assistant, Project Coordinator, Operations Coordinator, Office Manager, Chief of Staff assistant, or similar role is helpful but not mandatory.


More important is demonstrated experience managing responsibilities independently and getting things accomplished.


Technology proficiency is strongly preferred, including comfort with computers, smartphones, cloud applications, online research, and learning new platforms.

* Ability to perform reasonable light physical or hands-on tasks associated with household and property projects
