Job description

This is an Executive Assistant role supporting two or more Directors within the Global Growth Sales, Partners and Sales Go to Market organization in Amazon Ads. The EA will serve as the operational backbone for our leadership team - managing complex calendars, coordinating travel, driving team logistics, and ensuring leaders can focus on their highest-priority work. The ideal candidate thrives in ambiguity, moves fast with minimal direction, and brings a high bar for organization and follow-through. This is a fully on-site role (5 days / week) based in Seattle.
Key job responsibilities
* Manage complex calendars and scheduling requirements, including coordinating all aspects of internal and external meetings across multiple locations and time zones
*Coordinate seamless domestic and international travel itineraries, including flights, hotels, ground transportation, and detailed agendas
*Process and submit expense reports accurately and in a timely manner
*Track and help drive completion of key deliverables, following up on action items
*Organize and execute team activities including staff meeting agendas, Town Hall meetings, off-sites, morale events, and social outings
*Coordinate event logistics including catering, accommodations, AV requirements, and presentation materials
*Manage team space planning, which may include office moves, and reconfigurations
*Partner closely with the leadership team, key business partners (Finance, HR, Recruiting), and other Executive Assistants across the organization
*Attend key team meetings, capture notes, and follow up on action items
*Identify opportunities to improve administrative processes and proactively flag issues before they escalate
*Handle a high volume of administrative tasks with accuracy, discretion, and a positive attitude
*Help leaders prioritize effectively
A day in the life
Your day will be a dynamic blend of strategic coordination and proactive problem-solving. You'll manage intricate calendars across time zones, orchestrate cross-functional communication, and ensure our leadership team operates with maximum efficiency. From coordinating international travel to preparing comprehensive meeting agendas, you'll be the behind-the-scenes catalyst that keeps our organization running smoothly.
No two days are the same - you might start the morning resolving scheduling conflicts, transition into planning a team event, and wrap up by onboarding a new hire. You will build strong relationships with cross-functional partners and other EAs to create a positive working environment and a well-connected support network.
About the team
Global Growth Sales, Partners and Sales Go to Market is part of Amazon Ads, which helps advertisers and partners reach Amazon customers. We are a collaborative, innovative team dedicated to delivering exceptional results. Our organization values problem-solvers who thrive in fast-paced environments, take ownership of their work, and continuously seek opportunities to improve. You'll join a supportive EA community that partners across teams and functions to keep our leaders focused on their highest-priority work.
