Join WSP's Land Development and Municipal Engineering team in Medicine Hat, Alberta, where you'll play a key role in coordinating projects that help shape growing communities. As a Project Coordinator/Admin, you'll work closely with Project Managers and multidisciplinary teams to support project delivery, proposal development, scheduling, budgeting, documentation, and client service activities. While the primary focus is project coordination, you'll also provide administrative support that helps the team operate efficiently and successfully. Your Impact

  • Coordinate project activities, schedules, budgets, and deliverables to support successful project execution. 

  • Support proposal development activities, including coordinating submissions, gathering content, tracking deadlines, and preparing final proposal packages. 

  • Assist Project Managers with project setup, tender documents, tracking financial performance, progress payments, change orders, invoicing support, and document control. 

  • Prepare and distribute meeting agendas, meeting minutes, project correspondence, reports, and client deliverables. 

  • Liaise with internal teams, clients, contractors, and external stakeholders to help maintain project momentum and communication. 

  • Maintain project records, CRM updates, electronic filing systems, and project documentation in accordance with company standards. 

  • Provide administrative support including calendar coordination, travel arrangements, office supply management, and team event coordination as required. 

  • Contribute to a collaborative team environment by supporting operational, safety, and business development initiatives.


The Skills That Set You Apart

  • High School Diploma minimum; post-secondary education in Business Administration, Project Management, or a related field is an asset. 

  • 3-5 years of experience in project coordination, project administration, or professional services environments, preferably within engineering, consulting, architecture, construction, or municipal infrastructure sectors. 

  • Experience supporting project budgets, schedules, proposals, client deliverables, and project documentation. 

  • Strong understanding of project lifecycle processes and the ability to coordinate multiple priorities simultaneously. 

  • Advanced proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Teams. 

  • Experience with SharePoint, CRM systems, Bluebeam, Adobe Acrobat, GIS platforms, or similar project support tools is considered an asset. 

  • Excellent written communication skills with experience preparing professional reports, correspondence, meeting minutes, and proposals. 

  • Strong attention to detail and a proactive approach to problem-solving in a fast-paced, collaborative environment.

  • Positive attitude and a willingness to take on reasonability and assist where needed. 

  • Valid driver's license with a clean driving record.
