Job description

Position Summary: The Design Operations Coordinator is responsible for sample and product development support activities that ensure accurate, timely delivery of materials and information to customers, sales teams, and internal stakeholders. This role serves as a key liaison between Design, Product Development, Marketing, and Sales driving operational excellence through effective project tracking, sample coordination, and process execution. The position plays a critical role in supporting seasonal product launches, maintaining data accuracy, meeting project deadlines, and delivering a seamless experience for both customers and internal teams.
Position responsibilities:
Design & Product Development Support
  • Support the Design Team in preparing materials and presentations for customer showings.
  • Coordinate and ship sales and customer samples and development packages daily, both domestically and internationally.
  • Maintain and update development wall cards to reflect current status.
  • Ensure accurate line tracking and project documentation within Monday.com.
  • Monitor customer special requests and track progress to ensure deadlines are met.
  • Create and issue Development Purchase Orders (DPOs) as directed by the VP of Design.
  • Maintain accurate DPO tracking and reporting in Monday.com.
  • Coordinate with Design and Marketing Teams to facilitate fabric photography for line books, marketing materials, and the sample fulfillment website.
  • Partner with the Showroom Manager to execute seasonal display updates in the High Point Showroom.
  • Communicate and manage seasonal deadlines, milestones, and project deliverables to support on-time product launches.
  • Maintain and order office supplies
  • Coordinate schedules for office meetings and appointments
  • Assist Dept Leads with daily tasks as needed

Sample Management
  • Partner with the Design Team to assemble, tag, and prepare hand samples for customer presentations and shipments as needed.
  • Receive and organize production cuts, maintaining seasonal fabric libraries and sample shelves.
  • Review, verify, and approve new color line submissions from sample maker in US or China.
  • Assemble and distribute contract binders as required
  • Maintain and organize Design Department archive samples.
  • Collaborate with the Sample Manager and sample fulfillment center to ensure all pattern information is accurate and current on the sample ordering website.
  • Provide regular updates to the Sales Team regarding sample availability and status.
