Position Overview:
The Office Coordinator serves as the first point of contact for visitors and callers, providing exceptional customer service while supporting daily administrative operations to ensure a welcoming and efficient office environment.

Responsibilities:
  • Warmly welcome and assist visitors upon arrival, ensuring a positive first impression and directing them to the appropriate personnel or department.
  • Screen and route incoming calls efficiently, ensuring inquiries are directed to the appropriate personnel or department while maintaining a courteous and professional tone.
  • Provide basic information about the company and its services to visitors and callers.
  • Assist with all aspects of space/infrastructure planning (ex., moves, additions, changes to workstations) and provide answers, resources, and solutions when requested.
  • Support Facility Resources with coordinating and managing deliveries.
  • Support company operations by maintaining office systems.
  • Track and route incoming maintenance requests to ensure office facilities and appliances are in good running order.
  • Monitor visitor access and ensure compliance with security procedures.
  • Maintain a clean and organized reception area.
  • Assist with Accounts Payable (AP) invoicing processes.
  • Assist in coordinating parking for employees and guests.
  • Provide general administrative support to staff and management.
  • Assist with event coordination and logistics as needed.
  • Other duties as assigned.
Minimum Qualifications:
  • Bachelor's degree.
  • 1+ years of experience as a Office Coordinator.
  • Knowledge of Microsoft Office applications, i.e., Word, Excel, Outlook, Teams.
  • Excellent interpersonal, written, and verbal communication skills.
  • Deadline-driven with excellent attention to detail.
  • Effective organizational skills, able to efficiently balance several projects at once, prioritizing as needed.
  • Ability to maintain confidentiality of company information.
  • Flexibility to work evenings, weekends, and holidays as needed.

Pay Range: $21.64 - $24.04 /hr USD.
