We have an immediate opening for a full time Practice Assistant in our Seattle office supporting lawyers in our Labor, Employment & Workplace Safety practice group and as a member of our Shared Services team. The successful applicant must have a minimum of 3 to 5 years Washington litigation experience in both state and federal courts and be a self-starter with excellent organizational and document management abilities. Litigation experience in California courts would be an added benefit.
The Practice Assistant will be responsible for providing a high level of administrative support including preparation of client billing, matter management, project organization, database/file management, tracking deliverables, maintaining calendars, arranging domestic and international travel, time and expense entry, and promoting office efficiency.
Essential duties
  • Performing complex administrative legal tasks that may be highly confidential or sensitive, requiring discretion
  • Creating, editing, and proofreading letters, legal documents, and memos, including checking documents for content and context
  • Performing Court filings, including e-filing in Washington and California State courts and USDC Federal courts, researching and knowledge of court rules and implementing litigation procedures
  • Organizing and maintaining all correspondence and documents using the relevant document management system
  • Managing emails, calendar appointments, and client contact lists
  • Scheduling meetings and coordinating all logistics
  • Coordinating services with internal stakeholders
  • Providing business development support when necessary
  • Using internal library resources for external research as directed
  • Managing physical and electronic files, including intake, retention, retrieval, and transfer of records
  • Maintaining an organized and secure workstation and filing areas
  • Running critical document checks to ensure all files have been appropriately saved
  • Importing electronic documents, including scanning documents into the document management system
  • Coordinating entering, editing, and tracking daily billing entries for stakeholders
  • Coordinating and preparing monthly client bills
  • Preparing check requests and expense reports
  • Opening new client and matter files and conducting conflict checks
  • Coordinating, verifying, and obtaining appropriate approvals for all domestic and international travel arrangements with the firm's travel provider and processing related business expense reimbursements
  • Assisting other practice assistants with overflow work and providing backup support
  • Providing backup support for reception and office or client services functions, as needed
  • Performing other relevant duties in the practice area as directed by the immediate supervisor or other senior stakeholders
  • Working overtime as occasionally required

Knowledge, Skills & Abilities Required
  • Requires 3 to 5 years of legal practice assistant, executive assistant or administrative assistant experience, preferably with a large-sized law or professional firm.
  • Strong knowledge of court rules, bankruptcy processes and litigation procedures.
  • Strong administrative skills including typing, proofreading, spelling, grammar and math.
  • Knowledge of Windows 365, Elite 3E, iManage, Acrobat Adobe, Concur and Intapp preferred.
  • Ability to organize and prioritize workload and use good judgment in prioritizing work and meeting deadlines.
  • Ability to take initiative in handling projects and anticipating next steps.
  • Positive attitude and growth mindset.
  • Receptive to constructive input.
  • Must display a professional manner with clients, lawyers, paralegals and other staff members.
  • Excellent communication skills to work effectively with a diverse group of clients, lawyers and staff, and to provide information with courtesy and tact.
  • High School diploma or equivalent required, Certificate or Degree from a Business School is preferred.

Compensation Salary $75,000 - $126,000
The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
