Job description

Primary Role:

Performs administrative and office support activities. Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, and emailing. Extensive software skills are required, as well as Internet research abilities and strong communication skills

 

Responsibilities:

 

1.    Responsible for typing/editing company letters/documents such as quotes, submittals, User Guides, Small Works Roster Applications, and O&M’s.    

2.    Responsible for saving and organizing company related documents as needed.

3.    Responsible for filling out and reporting L&I paperwork.

4.    Responsible for creating and distributing company memos.

5.    Responsible for daily reception.

6.    Responsible for answering all general calls from the auto attendant.  Also available to answer phones for people who are out for the day when necessary.

7.    Maintain office supplies and office equipment.

8.    Responsible for all processing of incoming and outgoing mail.

9.    Responsible for maintaining job database and any job correspondence in the appropriate location.

10.   Assist with reports and documentation when required

11.   Other duties as required or assigned from time to time

Accountability:

The Administrative Assistant will be accountable to the General Manager.  Secondary accountability will be to the other management team members, employees and customers of the company.

Qualifications:

The Administrative Assistant shall possess a minimum of two years experience in the field of Business Administration.  This person must be able to manage multiple tasks simultaneously, have superior math and critical thinking skills. Individual must have good communication skills, self-starter and the ability to perform and complete high quality work.

Travel:

No travel required.

7.    Ability to demonstrate planning, organizing and implementing skills which allow the successful completion of a project by a specific due date.

8.    Must be able to effectively handle stressful situations.

9.    Must be able to read and effectively interpret general business documentation.

10.   Valid and current drivers license.

Physical, Mental and Environmental Requirements:

 

1.    Employee is required to stand, walk, climb, sit and use hands and fingers.

2.    Some light lifting of objects is required.

3.    Reaching, grasping and carrying activities also required.

4.    The noise level in the work environment is usually moderate.
