We are seeking a highly organized, professional, and proactive Administrative Assistant / Front Desk Coordinator to support our daily operations, client communications, and administrative processes.

Position Overview

This role combines administrative precision with hospitality excellence.

The Administrative Assistant is responsible for managing schedules, coordinating communications, maintaining records, assisting management, and supporting spa operations.

This position is ideal for someone who thrives in a calm, organized environment and values both structure and client care.

Key Responsibilities

Front Desk & Client Coordination

โ€ข Greet clients and provide exceptional customer service at all times.

โ€ข Manage client appointments, confirmations, and follow-ups for spa and wellness services.

โ€ข Process payments, memberships, and retail product sales.

โ€ข Maintain an organized reception and treatment schedule to optimize workflow for providers.

Administrative & Operations Support

โ€ข Assist management with daily administrative tasks and communications.

โ€ข Prepare reports, maintain client and vendor databases, and manage filing systems.

โ€ข Support event coordination, training schedules, and special wellness programs.

โ€ข Handle ordering of office and spa supplies, inventory tracking, and vendor communication.

โ€ข Manage incoming calls, emails, and correspondence with professionalism.

โ€ข Ensure daily opening/closing duties and spa maintenance standards are met.

Requirements

โ€ข Minimum 2 years of administrative or front desk experience (preferably in spa, medical, or wellness setting).

โ€ข Strong organizational, multitasking, and communication skills.

โ€ข Polished, professional, and positive demeanor.

โ€ข Proficiency in Microsoft Office (Word, Excel, Outlook), Canva, and scheduling software (Mindbody is a plus).

โ€ข Detail-oriented with excellent time management.

โ€ข Able to maintain confidentiality and work independently.

โ€ข Passion for skincare, wellness, and mindfulness practices.

Compensation & Benefits

Salary: $22โ€“$26 per hour (based on experience)
