Front Office Administrative Assistant

About This Role

At Brain & Spine Wellness Center, the Administrative Assistant plays a vital role in creating a calm, professional, and welcoming experience for patients—many of whom arrive feeling overwhelmed, frustrated, or out of options.

What You’ll Do

  • Greet patients warmly and create a positive first impression
  • Manage phone calls, scheduling, and patient communications with professionalism and empathy
  • Verify patient information and assist with intake paperwork
  • Support front-office operations, including scanning, data entry, and document organization
  • Collect payments, process transactions, and assist with basic billing tasks as trained
  • Coordinate with clinical staff to ensure smooth patient flow throughout the day
  • Maintain a clean, organized, and efficient front office environment
  • Uphold patient confidentiality and HIPAA standards at all times
  • Set patients up on some modalities (spinal decompression) and administer therapy support when needed.

Team members who are cross-trained to perform Video-Oculography (VOG), balance testing, and patient vital signs will be eligible for a higher hourly pay rate based on their additional training, skills, and responsibilities.


There are also opportunities to earn additional bonuses by supporting the practice’s social media and marketing efforts, such as helping record patient testimonial videos and assisting with other approved social media content.


High-performing team members may also grow into expanded administrative and leadership responsibilities, including the potential to advance into an Office Manager role over time.


Compensation & Benefits for full time: 

  • $300/mo health insurance stipend offered after a 90 day probation period.


Hours Needed Full time:

This is a full-time position averaging 35-40 hours per week, excluding unpaid breaks each day (end times may vary).


  • Monday 7:45am -5:30pm, with one hour break
  • Tuesday 7:45am-2:45pm, with 30 min break
  • Wednesday 7:45am-5:30pm, with one hour break
  • Thursday 7:45am-4:30pm, with one hour break
  • Friday 8:15am-2:15pm, with 30 min break
