Job description

SMS Equipment is seeking an organized and detail-oriented Administrative Assistant to provide administrative support services for the service functions within our Wabush branch. In this role, you will support corporate time entry, internal purchase orders, reception, housing, fleet, training tracking, and other branch administration duties as required. 

Working closely with branch teams, corporate payroll, vendors, customers, suppliers, and employees, you will help keep administrative processes accurate, timely, and well organized while supporting day-to-day operations in a busy office environment. 

Work Location: Wabush, NL 
Salary: $50,000 - $60,000 per annum + allowances
Work Arrangement: Fixed On-Site 
Schedule: 8:00 am to 4:00 pm 

What You'll Do 

  • Review, code, and enter hourly timecards accurately, including tracking overtime, vacation, sick time, and banked hours. 
  • Run cutoff reports and support corporate time entry requirements. 
  • Open and receipt purchase orders, support invoice follow-up, and help ensure approval processes are followed. 
  • Support EZscan approvals and other administrative tasks as required. 
  • Answer phones and assist with reception and door traffic in a professional manner. 
  • Order stationery, forms, and other office supplies as needed. 
  • Maintain housing, fleet, and training trackers to support branch operations. 
  • Coordinate janitorial contractors, rental needs, fleet appointments, and inspection report filing as required. 
  • Prioritize daily work in a busy branch environment while maintaining accuracy and service. 

What You Bring 

You are a dependable administrative professional who is comfortable supporting payroll, purchase orders, reception, tracking records, and day-to-day branch administration. You bring strong attention to detail, sound judgment, and the ability to prioritize work while supporting internal and external contacts professionally. 

Additional qualifications include: 

  • Grade 12 diploma with related education and experience in an industrial environment. 
  • 2+ years of experience providing payroll and administrative support in a busy office or branch setting. 

Nice to Haves: 

  • Experience with purchase orders, invoice follow-up, approvals, or ERP-based administrative processes. 
  • Experience maintaining housing, fleet, training, or operational tracking records
