Assistant Director of Business Operations Job Summary

Performs a variety of business operation and accounting duties thatrange in level of complexity from clerical accounting duties suchas processing invoices, creating departmental deposits, andinitiating reimbursements to more complex duties such asreconciling departmental Travel Card purchases, reviewing andprocessing departmental travel expense reports, compiling andanalyzing data to be used in projects, budget monitoring, andeducating coaches and Athletics staff on procurement policies andprocedures.

Responsibilities

Applicants must demonstrate the potential ability to perform theessential functions of the job as outlined in the positiondescription.

  • Review Departmental Travel expense reports ensuring properUniversity and Departmental Travel policies are being maintainedand followed.
  • Creates Purchase Orders for procurement of goods and servicesfor the Athletics Department.
  • Creates departmental deposits for all Tennis Center relatedincome.
  • Review and process departmental invoices for payment by workingdirectly with the University of Utah Purchasing Office.
  • Review and reconcile departmental Travel Card charges and serveas payment contact for local hotels.
  • Serve as a Business Office liaison to the University TravelDepartment. Serve as the Business Office liaison to the followingsports: Football, Women's Basketball, Men's Golf, Women'sGymnastics, Women's Softball, Men and Women's Swimming/Diving, Menand Women's Tennis, and Spirit Squad.
  • Process Employee and Student-Athlete reimbursements based ondepartmental reimbursement policies.
  • Assist in educating coaches and Athletics staff on policies andprocedures surrounding the University's procure-to-pay processes.Assists the Director of Business Operations with variousprocurement, budget, and month-end closing procedures.
  • Performs other duties and special projects as assigned and hasthe opportunity to take on additional responsibilities within thebusiness office.

Minimum Qualifications
  • Bachelor's degree required in Business Administration, Finance,Accounting, or a related field (one year of education can besubstituted for two years of related work experience); plus, twoyears of related experience.
  • 2 years of collegiate athletics business office, clericalaccounting, or relevant experience.
  • The ability to understand, interpret, and apply University anddepartmental regulations.
  • Capable of working in a fast-paced environment and completingmultiple tasks and projects in a timely manner.
  • Human relations and effective communication skills arerequired.
  • Experience using programs such as Excel and other Microsoft 365applications.
  • Must have a valid Driver's License

An advanced degree, such as a Master's of Business Administration,is preferred.
