Job Description: Experienced Dental Administrative Assistant - Pediatric Dental Office

We are seeking a highly organized, compassionate, and experienced Dental Administrative Assistant to join our dedicated team at a busy pediatric dental office. The ideal candidate will be the welcoming face and voice of our practice, ensuring the smooth flow of daily administrative and patient-facing operations. Proficiency in dental insurance filing and exceptional phone etiquette are essential for this role.

Key Responsibilities

  • Patient Welcome & Scheduling:

    • Greet patients and their families warmly upon arrival and manage the check-in/check-out process efficiently.

    • Schedule, confirm, and reschedule patient appointments, managing the clinical schedule to optimize flow.

    • Maintain and update patient records, ensuring accuracy and confidentiality (HIPAA compliance).

  • Insurance and Billing (Crucial Skill):

    • Expertly manage all aspects of insurance filing and claims submission.

    • Verify patient insurance eligibility and benefits prior to appointments.

    • Prepare and present treatment plan estimates, clearly communicating patient financial responsibilities.

    • Follow up on unpaid claims and manage accounts receivable.

  • Communication (Crucial Skill):

    • Answer multi-line phones with professionalism and a friendly, calm demeanor.

    • Direct calls, take accurate messages, and manage communication between patients, parents, and clinical staff.

    • Handle correspondence, including mail, email, and fax communications.

  • Office Management:

    • Maintain a neat, organized, and professional reception area.

    • Manage office supplies inventory and place orders as needed.

    • Assist with other general administrative duties to support the practice manager and dental team.

Required Qualifications

  • Experience: Minimum of 2-3 years of proven experience in a dental administrative role.

  • Insurance Proficiency: Demonstrated expertise in processing and filing dental insurance claims (PPO and Medicaid knowledge is a plus).

  • Communication Skills: Exceptional verbal communication skills, specifically proficiency in handling high-volume phone calls and interacting positively with children and parents.

  • Technical Skills: Proficient in using dental practice management software (e.g., Dentrix, Open Dental, EagleSoft, Curve Dental) and Microsoft Office Suite (Word, Excel).

  • Soft Skills: Strong organizational and multitasking abilities, a meticulous attention to detail, and a patient, empathetic approach.

Preferred Qualifications

  • Experience with electronic health records (EHR) systems.
