JOB SUMMARY:

Under general supervision, this position oversees advancement data, reporting, analytics, donor systems, and related processes for the Indian River State College Foundation. The Advancement Data & Analytics Manager is the primary administrator of the Foundation's constituent relationship management (CRM) system and supports fundraising, donor relations, alumni engagement, scholarships, grants, and Foundation operations through accurate data and reporting.

Reporting to the Foundation Endowment Manager, this position manages and improves advancement technology, maintains data standards, creates reports and dashboards, analyzes donor and fundraising data, and supervises the Data Analyst/Donor Manager. The role works closely with Foundation staff, finance, information technology, and College departments to improve data quality, streamline processes, and support informed decision-making.

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Manage the administration, configuration, maintenance, and effective use of the Foundation's donor database and related advancement technologies, including Blackbaud Raiser's Edge NXT and iWave.
  • Establish and maintain data standards, business rules, documentation, and procedures that promote accurate, consistent, secure, and confidential constituent and philanthropic records.
  • Monitor data quality; conduct routine audits, duplicate review, data cleansing, and corrective projects; and recommend process improvements.
  • Develop and maintain standard and ad hoc reports, executive dashboards, and key performance indicators for fundraising, donor engagement, pipeline activity, campaign performance, stewardship, scholarships, and Foundation operations.
  • Analyze donor trends, giving patterns, retention, acquisition, campaign outcomes, and portfolio activity to identify opportunities and support fundraising planning.
  • Prepare reports and data presentations for Foundation leadership, the Board of Directors, development staff, College administration, and other authorized stakeholders.
  • Coordinate database enhancements, integrations, imports, exports, testing, upgrades, user access, and vendor support in collaboration with College information technology personnel and external partners.
  • Support gift and pledge reporting, constituent coding, campaign-fund-appeal structures, reconciliation processes, and related advancement workflows in coordination with Foundation finance and advancement services staff.
  • Support prospect identification, segmentation, capacity and affinity analysis, portfolio assignments, moves management, and fundraiser performance reporting.
  • Partner with development officers to maintain accurate prospect records, monitor movement through the cultivation and solicitation cycle, and strengthen portfolio management practices.
  • Create and maintain analytical tools and reports that help prioritize prospects, evaluate portfolio effectiveness, and measure progress toward fundraising goals.
  • Ensure advancement data practices comply with donor privacy expectations, Foundation policies, records requirements, and applicable laws and regulations.
  • Train Foundation and Institutional Advancement staff on database procedures, reporting tools, data standards, and appropriate system use.
  • Supervise, coach, and evaluate the Data Analyst/Donor Manager; establish performance expectations and support ongoing professional development.
  • Collaborate with Foundation staff, College departments, and external stakeholders to support projects requiring advancement data, analytics, or reporting
  • Complete all other related duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

  • Bachelor's degree from an accredited institution in business, data analytics, information systems, nonprofit management, finance, or a related field.
  • Minimum of three (3) years of progressively responsible experience in advancement services, fundraising operations, CRM or database administration, reporting, business intelligence, or data analytics.
  • Experience administering a constituent relationship management system or other complex relational database, including data standards, queries, imports, exports, and reporting.
  • Experience developing dashboards, reports, performance measures, or data visualizations for operational and management decision-making.
  • Advanced proficiency in Microsoft Excel, including formulas, pivot tables, data validation, and analysis of large data sets.
  • Knowledge of data governance, data quality, confidentiality, and appropriate handling of sensitive constituent and financial information.
  • Strong analytical, problem-solving, organizational, and project-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills, including the ability to explain technical information to nontechnical users.
  • Ability to work independently and collaboratively with staff, leadership, vendors, and College stakeholders.
  • Experience supervising, training, or leading the work of others

PREFERRED QUALIFICATIONS:

  • Experience with Blackbaud Raiser's Edge NXT, including database view, web view, queries, exports, lists, dashboards, and related integrations.
  • Experience with iWave or another prospect research and wealth-screening platform.
  • Experience in higher education advancement, a college or university foundation, or nonprofit fundraising operations.
  • Knowledge of donor lifecycle management, moves management, gift administration, fundraising metrics, and prospect development practices.
  • Experience with AI, Power BI, Tableau, Microsoft Power Query, or comparable reporting and visualization tools.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as ability to sit, stand, and walk for extended periods; as light work involving lifting no more than 25 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing, or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do substantially all of these activities. If someone can do light work, we determine that he or she can also do sedentary work, unless there are additional limiting factors such as loss of fine dexterity or inability to sit for long periods of time.
