The Executive Assistant to the SVP/COO provides executive, administrative, and development support to the SVP/Chief Operations Officer, as well as the Senior Management Team (SMT) and HR in carrying out the objectives of the credit union.

Essential Functions & Responsibilities:

Executive Support:

  • Completes a broad variety of administrative tasks for the SVP/COO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Works closely and effectively with the SVP/COO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Plans, coordinates and ensures the SVP/COO's schedule is followed and respected.
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the SVP/COO's time and office.
  • Provides a bridge for smooth communication between the SVP/COO's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management team.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the SVP/COO, some of which may have organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Reports/Presentation Creation/Development

Supervisory Committee and Credit Committee Liaison:

  • Serves as the Supervisory Committee and Credit Committee Liaison.
  • Maintains discretion and confidentiality in relationships with all volunteers (i.e. Board, Supervisory Committee, etc.)
  • Coordinates monthly meetings and lunches.
  • Attends meetings and takes minutes Supervisory Committee & Credit Committee.
  • Ensure that minutes are complete, accurate, prepared within three days of the meeting date and signed by the appropriate individuals when approved.
  • Provides administrative support to the Supervisory Committee & Credit Committee including but not limited to:
    • Providing meeting notification and securing a quorum
    • Adhering to compliance with applicable rules and regulations set in bylaws regarding board and board meeting matters, including advance distribution of materials before meetings.
    • Maintaining volunteer contact information. Assisting volunteers with conference registration/reimbursement.
    • Assisting volunteers with travel arrangements, lodging, and meal planning as needed.
    • Providing secondary support to President/CEO and Board
    • Performing other duties as needed or assigned by the VP of Human Resources, SVP of Administration, and/or SVP/COO

Knowledge and Skills:

Experience: Three years to five years of similar or related experience.

Education: (1) A bachelor's degree, or (2) achievement of formal certifications recognized in the industry as equivalent to a bachelor's degree (e.g., information technology certifications in lieu of a degree)

Interpersonal Skills: Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.

Other Skills: (a) Strong communication (verbal and written), organizational, analytical, and problem-solving skills. (b) Excellent member relations skills. (c) Ability to function in financial institution environment and utilize standard office equipment

Pay: $57,000 - $67,500 annually depending on experience and qualifications.
