Job description

GENERAL SUMMARY
The Executive Assistant to the CFO provides high-level administrative support to ensure the CFO, General Counsel, and CAO can efficiently accomplish critical tasks and company initiatives. This role owns calendar, travel, and logistics management, and takes a hands-on role in building and formatting Board and executive presentations - turning outlines and data into polished, boardroom-ready decks. The ideal candidate combines strong organization with design sensibility, sound judgment, and discretion.
ESSENTIAL DUTIES & RESPONSIBILITIES
  • Serves as the central point of contact for the CFO's office, coordinating across other executives, the Board, and staff.
  • Provides administrative support to the CFO, General Counsel, and CAO, proactively managing meetings, appointments, priorities, and correspondence.
  • Plans and manages travel logistics for the CFO - flights, hotels, ground transportation, and itineraries - anticipating needs to keep travel smooth and well-organized.
  • Builds and formats Board and executive presentations, including layout and visual design, to produce clear, polished, boardroom-ready decks.
  • Develops, coordinates, and manages agendas and action items for executive meetings.
  • Manages the collection, organization, and filing of financial and legal records.
  • Leads the development, review, editing, and publication of all decks and communications for the Board of Directors and related committees.
  • Makes all arrangements for the Company's annual shareholders meeting and coordinates with the Company's transfer agent to mail annual reports, proxy statements, and cards to shareholders.
  • Prepares paperwork for equity vests for current and former employees and Board members; coordinates payment receipt with outside broker(s) and share disbursement with the transfer agent.
  • Prepares NSP and Synergy wire transfer payments, distributes copies to appropriate personnel, and maintains a log and file of all charges and supporting documentation.
  • Manages expense reports and related materials to ensure timely reimbursement of approved expenses.
  • Able to be physically present in the Company's office in Lehi, Utah, Monday-Friday.

TOP QUALIFICATIONS
  • Presentation design skills - fluent in PowerPoint with a strong eye for layout and visual clarity; able to turn raw content into a polished, executive-ready deck.
  • Proven executive support experience - 5+ years supporting a C-suite executive at the corporate level.
  • Strong travel and calendar management - track record managing complex, high-volume travel and scheduling with minimal oversight.
  • Discretion and judgment - experience handling confidential financial, legal, and Board-level material.
  • Financial/corporate fluency - comfortable with numbers, equity administration, expense processes, and public-company rhythms (Board cycles, shareholder meetings, filings).

EXPERIENCE / EDUCATION / SKILLS
  • Strong proficiency with Microsoft PowerPoint, Excel, and Word, including deck design and formatting.
  • Solid verbal and written communication skills.
  • Strong attention to detail and excellent organizational skills.
  • Able to multi-task and consistently meet or exceed deadlines.
  • Demonstrated approach emphasizing solving problems, anticipating issues, improving efficiency, and adding value.
  • A proactive approach requiring minimal supervision, oversight, or direction.
  • Associate's or bachelor's degree preferred.
  • Five-plus years of progressively responsible Executive Assistant experience, preferably at the corporate/public-company level, or an equivalent combination of education and experience.
  • Comfortable with numbers and financial concepts/principles.
  • Professional, collaborative, respectful of confidentiality, and a high degree of tact required.
