Job description

Position purpose - Responsibilities/Duties/Functions/Tasks
The purpose of this position is to work closely with the Accounting, Business Development and IT departments to evaluate all new as well as existing branches are supplied with the IT Equipment required to operate and function in the most efficient manner. Work involves detailed duties in the requisition and purchasing of supplies and equipment. This position will perform procurement activities requiring advanced knowledge of procurement policies and practices, which may include preparing specifications, assisting with contract review, and preparing significant and large purchase orders.
Qualifications
• Proven experience in procurement administration, supporting purchasing, vendor management, and procurement processes
• Knowledge of sourcing and procurement techniques as well as a dexterity in "reading" the market
• Aptitude in decision-making and working with numbers
• Strong project management, team building, and organizational development experience
• Strong communication, analytical, and problem-solving skills
• Excellent writing and editing skills
• Ability to effectively and professionally handle difficult situations that may arise when working with branches/divisions
• Ability to multi-task

• Ability to work and to deliver content under tight deadlines

Duties
• Evaluate equipment, components, and software for use by PRMI employees
• Interface with vendors as necessary
• Configure and maintain network devices, computer hardware, operating systems, and associated services
• Participate in developing plans, schedules, and requirements for the deployment and lifecycle of computer systems
• Work with users to analyze their requirements
• Provide technical support of workstations and laptops and technical guidance for PRMI employees
• Procure supplies, IT equipment and services from outside sources through new contracts, competitive bids or existing contracts
• Plan and coordinate time and delivery of purchases
• Assess requests for goods and services by ensuring that they are allowable under limitations, restrictions, and policies, as well as determining availability of funds
• Identify and maintain lists of vendors and sources of supply for goods and services
• Review, evaluate, verify, and process invoices and prepare payment requests
• Work with the Accounting Dept's Asset Manager to update the inventory listing of property and conduct inventory reconciliations
• Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production, and distribution capabilities as well as the reputation and history
• Prepare specifications, solicitations, and requests for qualifications/proposals; research products and equipment; prepare product/equipment specifications
• Obtain and review competitive bids, quotes, and proposals from vendors and contractors; discuss evaluations and review with requesters and subject matter experts
• Negotiate with vendors for the best price over contracted services and purchases
• Coordinate with selected vendors on supply and delivery of purchased items
• Evaluate and monitor contract performance to ensure compliance with contracted obligations; assist with clarifying contract requirements and resolving any conflicts
• Recommend cyclical replacement of accountable property
• Manage the recovery process of all assets sent to branches which are shut down
