Job description

Maxby Hospitality, Inc. is currently hiring a full-time Payroll Manager to join our team managing Biaggi’s and Ancho & Agave restaurants!  This role reports to the Corporate Controller and is responsible for supervising two experienced Payroll Specialists. In this position, you will work with a variety of systems and processes, including payroll and related tax, account analysis and reconciliation, audit support and journal entries. You will use multiple reporting systems and provide essential information and critical feedback directly to restaurant managers, multi-unit supervisors and corporate leadership.

Summary: Responsible for payroll function for our 21 locations across 8 states and all corporate employee payroll. Compile payroll data to administer and maintain payroll records on an accurate and timely basis by performing critical tasks personally for specific locations. Directly supervise and collaborate with two experienced Payroll Specialists. Coordinate benefits administration with the Director of Human Resources.

Payroll Manager Responsibilities:

  • Lead and manage the payroll team, setting priorities, developing talent and ensuring consistent operational excellence across multiple legal entities and payroll locations.

  • Adhere to strict payroll deadlines.

  • Maintain employee confidence and protect payroll operations by keeping information confidential.

  • Oversee end-to-end payroll operations for multiple entities and states, ensuring timely and accurate payroll processing, tax withholding, reporting and year-end activities.

  • Act as a payroll subject-matter expert and point of contact for the organization:  lead implementations, configuration, upgrades, integrations, testing and ongoing optimization to maximize system capability.

  • Coordinate with HR to ensure compliance with federal, state and local payroll, tax and labor regulations across all jurisdictions, monitoring legislative changes and implementing necessary process updates.

  • Coordinate enrollments and terminations in employee welfare programs (health insurance, short-term and long-term disability, life insurance, 401(k), COBRA).

  • Work closely with restaurant management, payroll staff and HR to ensure accuracy of payroll data: new hires, terminations, transfers, variable compensation inputs, and job information changes

  • Interact with restaurant managers and employees to identify and resolve issues.  Send questions and diligently follow up with managers to resolve outstanding issues, obtain required documents, etc., until all is complete

  • Coordinate closely with accounts payable and Corporate Controller on payroll reconciliations, general ledger interfaces, month-end close, variance resolution and audit readiness.

  • Process child support orders, wage garnishments and tax levies for employees.

  • Prepare and process payroll for employees at specific locations:  review base data, reconcile to source reports.

  • Review system reports for unusual clock outs and under-reported tips. 

  • Respond to agency/employment verification requests.

  • Answer employee payroll questions, ensuring employees clearly understand payroll subjects and the necessity to comply with all local, state and federal payroll regulations.

  • Prepare or review all sales/use tax returns monthly for 8 states and multiple local jurisdictions, making sure they are timely filed.

  • Prepare and file all required payroll tax returns, W-2s, and quarterly / annual reports.

  • Assist with all payroll record keeping and storage.

  • Coordinate with Controller to prepare for and manage external audits, respond to taxing authority inquiries, and resolve complex payroll issues.

  • Support other members of the accounting team as requested by the Controller.

  • Identify and eliminate unnecessary complexity within the payroll process.

Payroll Manager Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration or equivalent experience.

  • Strong working proficiency with major payroll / HRIS platforms – NetSuite and Paycom administration experience a plus.

  • Proven experience managing payroll across multiple legal entities and multiple U.S. states, with strong knowledge of federal, state and local tax and labor regulations.

  • Thorough knowledge of U.S. federal/state payroll tax compliance, FLSA, and wage & hour regulations.

  • Adhere to the highest of ethical business conduct and compliance by acting lawfully, ethically, honestly, and professionally in the performance of job functions at all times as well as maintain compliance with Company policy and procedures as it relates to all job functions.

  • Comfortable with Excel (functions, data, pivot tables etc.) and other Microsoft Office applications.

  • An analytical mind and a tendency to QUESTION EVERYTHING.

  • Outstanding verbal and written communication skills.

  • Ability to handle sensitive and confidential information with discretion and maturity.

  • Ability to meet reasonable deadlines within a set monthly timetable.

  • Willingness to work additional hours when workload warrants.

  • Maintain a positive attitude working within a small team of 6 accounting and payroll personnel.

  • Proactive mindset, creative problem-solving skills, always looking for greater efficiency and opportunities for automation.

  • Comfortable working with minimal direction, dedicated to providing high-quality work product.

  • Ability to prioritize multiple competing tasks, follow through on questions promptly, and rely on experience and judgment to accomplish goals

 
Payroll Manager Compensation & Benefits: 

  • Competitive Salary ($70,000-$80,000 annually, based on experience)

Payroll Manager Work Conditions: 

  • Environment – Work is performed in-person at our office in Bloomington, Illinois 

  • Physical Demands – Intermittent sitting, standing, walking, reaching, occasional lifting and use of hands/fingers 

  • Mental Demands – Using standard mental and visual attention continuously, with occasional periods of continuous alertness and concentration. 

  • Talk/Hearing – Must be able to receive and send information through oral communication. The noise level in the office environment is occasionally quiet and frequently moderate.
