Job description

Position Eligibility: Saudi National, subject to applicable Saudization requirements and the occupation classification registered through the relevant Saudi authorities.

Purpose of the Position

  1. Moxa Saudi Arabia is looking for a detail-oriented, energetic, and highly organized Business Operations Coordinator to support the effective operation of its local business.
  2. The purpose of this position is to provide comprehensive operational and administrative support to the Sales, Marketing, Human Resources, Finance, and General Administration functions.
  3. The role will coordinate daily business processes, maintain accurate records and reports, support customers and channel partners, assist with marketing activities, and facilitate communication between the Saudi Arabia office, regional teams, and Moxa headquarters.
  4. The successful candidate should be comfortable handling multiple responsibilities, working across different functions, and completing tasks under the guidance and supervision of the direct manager and senior team members, while following company policies, approval procedures, and applicable Saudi Arabian laws and regulations.

Key Objectives

  1. Support the Sales and Marketing teams in maintaining smooth and efficient daily operations.
  2. Maintain accurate sales, marketing, administrative, HR, and financial documentation.
  3. Support marketing campaigns, exhibitions, seminars, webinars, and channel activities.
  4. Ensure the efficient administration of the Saudi Arabia office.
  5. Provide local coordination support for recruitment, employee administration, expense processing, and external service providers.
  6. Protect confidential business, employee, candidate, customer, and partner information.

Major Areas of Responsibility

Essential duties include the following. Other reasonable duties related to the position and business operations may be assigned.

1. Sales Operations and Customer Support

  1. Respond to general inquiries from customers, channel partners, websites, events, and inbound calls.
  2. Prepare regular sales reports and coordinate customer or distributor requests with relevant internal teams and headquarters.
  3. Support customer visits, partner meetings, account documentation, and business review preparation.

2. Marketing Execution and Lead Management

  1. Support the preparation and execution of seminars, exhibitions, webinars, customer events, and channel activities.
  2. Coordinate venues, suppliers, invitations, registration, promotional materials, logistics, and post-event reporting.
  3. Track and distribute marketing leads and follow up with the Sales team on lead status.
  4. Support digital marketing, website content updates, and the localization of approved marketing materials.
  5. Coordinate with regional and headquarters Marketing teams to ensure brand and communication alignment.

3. Office and Vendor Administration

  1. Support daily office operations and maintain an organized, professional, and safe workplace.

  2. Manage office supplies, equipment, courier services, meeting arrangements, travel logistics, and visitor support.
  3. Maintain office agreements, licenses, subscriptions, permits, vendor records, and administrative documents.
  4. Coordinate with landlords, service providers, government-related service providers, and other local vendors.
  5. Support vendor quotations, purchase requests, contract documentation, renewals, and service follow-up.

5. Human Resources Coordination

  1. Support recruitment activities, including candidate communication, interview scheduling, and document collection.
  2. Coordinate employee onboarding, offboarding, attendance, leave, training, and HR record administration.
  3. Assist employees with general HR administrative matters and refer sensitive or policy-related issues to the responsible HR representative.
  4. Coordinate with regional and headquarters HR teams on HR initiatives, employee engagement, and policy implementation.
  5. Support local employment administration while maintaining strict confidentiality and compliance with Saudi labor requirements.

6. Finance, Compliance, and General Support

  1. Review employee expenses, vendor invoices, receipts, and payment documents for completeness and required approvals.
  2. Prepare payment documentation and coordinate with headquarters Finance, CPA, and authorized service providers.
  3. Maintain organized financial, administrative, employee, customer, and vendor records.
  4. Protect confidential and personal information and comply with company policies, approval procedures, and applicable Saudi Arabian regulations.
  5. Perform other reasonable duties related to the position and legitimate business needs, as assigned by the direct manager, in accordance with company policies and applicable Saudi Arabian laws and regulations.

Minimum Job Requirements

Education

  • Bachelor's degree in Business Administration, Marketing, Human Resources, Management, Communications, or a related discipline.

Professional Experience

This position is open to fresh graduates. Internship, part-time work, student club, or academic project experience in one or more of the following areas is a plus:

  • Sales operations or sales administration
  • Marketing coordination or event support
  • Office administration
  • Human Resources coordination
  • Finance or expense administration
  • Customer service or channel partner support
  • Experience working in a multinational company, technology company, industrial company, distributor, or professional-services environment is preferred.

Language Requirements

  • Native or fluent Arabic.
  • Good professional proficiency in spoken and written English.

Technical Skills

  • Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, Outlook, and Teams.
